About us:

The Dalla Lana School of Public Health is a Faculty of the University of Toronto that originated as one of the Schools of Hygiene begun by the Rockefeller Foundation in 1927. The School, which plays a critical role in the COVID-19 pandemic response, went through a dramatic renaissance after the 2003 SARS crisis and it is now the largest public health school in Canada, with more than 850 faculty, 1,000 students, and research and training partnerships with institutions throughout Toronto and the world. With $53.3 million in research funding per year, the School contributes to improving population health and health policy and health systems through discoveries and innovation in data science and AI, maternal, child and reproductive health, climate change, implementation and improvement sciences, preventable disease through vaccines and prevention through wellness such as with diabetes, comparative health policy, sustainable and equitable health systems, global and Indigenous health, among many other areas. This past year, $10 million philanthropic dollars was raised for research, education and knowledge translation, and the over 7000 alumni were deeply engaged through events and networking opportunities.


Your opportunity:

As the Advancement Coordinator, you will be part of a collaborative and dynamic team, and responsible for the administration and coordination of the Advancement and Alumni Engagement team at the Dalla Lana School of Public Health. You will work closely with the Director of Advancement to support their portfolio as well as principal and major gift activity. These will include prospect list management, calendar management, inputting of key data into university systems, support of key action items from meetings, preparation of preliminary, standard information on key documents, etc You will also work closely with other members of the team by working alongside them to support their work with donors and alumni. This will include list generation, event collaboration, and other logistics, as well as reporting, to name but a few. You will also be responsible for conceptualizing, organizing and ensuring the successful execution of donor events including logistics coordination and project management of the event. In addition to supporting all reporting activity such as gathering and collating information, you will also work with internal stakeholders at the Division of University of Advancement and beyond to identify and develop all requisite information. A key part of the role is advancing student awards internally once confirmed by the donor. Other important internal work involves moving gift agreements and other key documents forward within the School and the university. You will be a highly motivated, detail-oriented, organized, time-oriented professional committed to supporting and guiding to conclusion various aspects of the work of the Advancement and Alumni Engagement team at the Dalla Lana School of Public Health, and supporting the School’s mission of creating a healthy and equitable society.


Your responsibilities will include:

  • Assessing needs and contributing to the development and implementation of plans for prospect identification, cultivation, solicitation and recognition
  • Drafting donor acknowledgment and recognition communications, writing project-specific proposals and written materials related to fundraising activities/campaigns
  • Conceptualizing, organizing and executing event activities; creating and updating invitation lists, booking speakers/rooms, handling expenses for events
  • Overseeing tasks related to the production, including developing content, and dissemination of communications/marketing materials
  • Analyzing the impact of stewardship programming on fundraising initiatives along with determining logistical details required for donor mailing campaigns
  • Supporting data and records management by generating reports, updating prospect databases and portfolios, formatting data collected for presentations and reports
  • Collating background information packages for prospect stewardship activities and processing donations in the donor management system

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience
  • Minimum four years of relevant experience in a combination of coordinating events and providing front-line administrative support, preferably in a fundraising or not-for profit environment
  • Demonstrated experience coordinating logistics for in-person and virtual events
  • Experience preparing communication and marketing materials, including producing content
  • Demonstrated experience maintaining information on digital platforms in a professional setting
  • Experience using and updating a specialized database (i.e. alumni/donor database) and analyzing data with initiative and independent judgment
  • Experience analyzing and evaluating stewardship programming on fundraising initiatives to inform future programming
  • Experience independently drafting and editing correspondence and documentation
  • Experience with financial tasks including monitoring accounts for a project
  • Excellent computer skills; advanced proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with online registration software (Eventbrite)
  • Familiarity with enterprise video communication platforms (e.g. Zoom, MS Teams)
  • Proficient knowledge of a content management system
  • Superior organizational skills including the ability to balance competing priorities and work under pressure to specific deadlines
  • Exceptional decision making, problem solving and time management skills as well as excellent attention to detail
  • Ability to work effectively in a team environment while managing own projects and programs and showing creativity, initiative and good judgement
  • Ability to network and confidently represent the University at alumni events
  • Solid critical thinking and problem-solving abilities; customer service and solutions-oriented
  • Ability to bring individuals and groups together (staff, peers, donors, alumni, volunteers), and to motivate and guide them effectively
