Special Projects Coordinator - Vice Chancellor Diversity & Engagement

This position provides a key professional expertise in a fast-paced environment for the Strategic Initiatives unit, and the collective Division of Diversity and Engagement (DDE). In coordination with the Associate Vice Chancellor for Strategic Initiatives, the Special Events Coordinator manages various DDE programs, activities, and events. This profession will be primarily tasked with determining which events to host, executing events, and building curriculum for various strategic initiatives. This includes, but is not limited building curriculum for the Student Advisory Board, working with graduate programs and graduate students via our DDE Internship and Practicum experiences, and our DDE professional development series. Additionally, the Special events coordinator will be responsible for planning various events including, but not limited to meetings, workshops, overnight retreats, conferences, etc. Reporting directly to the associate vice chancellor for strategic initiatives, in addition to primary role of planning, coordinating, and executing special events/special projects, this position will also provide some administrative support for the executive Director for Diversity and Engagement and the communications director, as needed. They serve as the first point of contact for division initiatives and unit initiatives related to diversity equity and inclusion, and assists with effective modes on communication for internal UT groups/units and external partnerships.

Job Functions/Responsibilities:

Programming/Special Projects

* The special projects coordinator will have creative autonomy within the scope of our work in DDE. They will be responsible for determining the nature of the events we host, and they will be responsible for planning, organizing, and implementing special projects and special events sponsored by the SIU and/or the DDE; this includes but is not limited to meetings, workshops, overnight retreats, conferences, etc.

* The special projects coordinator will be responsible for identifying and selecting potential speakers and/or facilitators. Additionally, they will be responsible for the programs/special projects from start to finish, including but not limited to contract execute and other important programming logistics. Likewise, they will assist with special events for the Chancellor's Commissions and Council, as needed.

* On behalf of DDE, this position will work with other campus partners in the Division of Student Life, Division of Student Success, and other key campus partners by serving as the lead coordinator and facilitator of regularly scheduled collaborative meetings, with the purpose of discussing events and identifying ways to collaborate and partner; thereby avoiding programmatic overlaps.

* Co-Lead the university-wide program calendar committee

*Maintains the Strategic Initiatives Unit (SIU) calendars and registration processes related to events, including but not limited to information on DDE initiatives, seminars, workshops, and events. Assist with the divisional strategic planning process

* work with the director of communication to develop comprehensive communication strategies for all of the programs and services associate with this role

* serve as a key liason for the divisions of student life and student success

* represent the division on various university-wide committees

* Other event coordination/special projects duties as assigned.

Curriculum Development

* The special projects coordinator will serve as the co-advisor for the Student Advisory Board (SAB). This includes building the training and professional development curriculum for (SAB). The special project coordinator will have the autonomy to use their knowledge to build curriculum, and they will have the ability to identify and secure outside professional experts to help facilitated curriculum in specialized areas related to our work.

* The special projects coordinator will help administer the Staff Fellows Program and planning professional development programs for divisional staff. This includes building curriculum for both initiatives and facilitating workshops as needed. The special projects coordinator will also be the point person in our division for identifying key professionals who we might bring to campus to address various learning objectives and special topics.

* Assist in planning and executing the SIU and DDE practicum/internship experiences. This includes working with various graduate programs across campus to make them aware of our opportunities, assisting in recruiting, onboarding and training the practicum and internship students. The special projects coordinator is responsible for the training curriculum for these experiences.

*The special projects coordinator will coordinate the diversity scholars program which will consist of recruiting undergraduate students to participate in the program, building out the logistics and curriculum for the cohort model, selecting the service and facilitating the service component of the experience, building the framework for an instruction-based training program that will hopefully turn into a credit-bearing course for the diversity scholars.

* The special projects coordinator will consult with other members of our division who would like assistance building curricula.

Administrative Support

*Provides administrative support faculty, staff, students, and other visitors to the unit. Maintains calendar, coordinates and supports travel for the Strategic Initiatives unit (associate vice chancellor, executive director and communications director).

*Provides training to work study students and UT student assistants who provide assistance at the front desk. Assists with the formatting and generation of reports and with gathering information, when requested.

*Generates presentations and data analytics as requested.

*Help manage the budget for the Chancellor's Commissions and Council. Assist with the operational efforts of other departments on an as-directed basis.

* Provides scheduling information to faculty, staff, and students who are interested in diversity, equity, and inclusion initiatives.

*Ensures that SIU events and major DDE events are submitted to the university events website for public viewing.. Coordinate and facilitate central office search processes (recruitment, interviews, orientation).

*Other administrative duties as assigned.

Student, Faculty, and Staff Support

Acts as first contact for staff, faculty, and students with questions related to the Strategic Intiatives Unit. Assists with program materials for workshops and events.

Data and Tracking

Works with the Stratigic Intitaitves Unit to develop a method for tracking student, faculty, staff, and external partners' participation in DDE programs.



Qualifications
REQUIREMENTS:

Education:

Associate's degree in Social Sciences, Communications, Business or related fields with a minimum of 4 years full-time relevant experience

OR

Bachelor's degree in Social Sciences, Communications, Business or related fields with three years relevant experience required.
 

Required experience:

Experience functioning in a dynamic work environment.

Preferred level/type of experience:

Masters's Degree with 1 year of relevant full time professional expereince.

Knowledge/experience working with college faculty, staff, students, and event planning.

Preferred knowledge, skills, and abiltiies:

• Knowledge and experience working with college faculty, staff, and students

• Experience and knowledge of working with community-based organizations

• Some familiarity with diversity, equity, and inclusion terminology

• Experience and knowledge of working with diverse populations

Competencies/Qualifications:

• Ability to multi-task and work independently in a dynamic environment

• Excellent oral and written communication skills with the ability to communicate and interact effectively with students, faculty, staff, administrators, and community members

• Excellent grammar and proofreading skills

• Excellent organizational and problem solving skills

• Experience in dealing with a wide-range of people in a polite and professional manner

• Knowledge and use of databases, proficient with Microsoft Office software including Word, Excel, PowerPoint, Outlook, Teams, and Adobe Acrobat • Detailed oriented • Ability to maintain confidentiality

• Capable of working individually and in a team environment

• High level of personal initiative
