Departmental Overview

The Department of Recreational Sports is dedicated to enhancing the knowledge, wellness, fitness, personal skills and quality of life for students, faculty, staff and the community. In addition to the competitive and recreational sports clubs, the department offers a wide range of fitness activities, classes and state of the art equipment. Outdoor trips, clinics and day programs are offered through Cal Adventures. Recreational Sports also offers events year-round for students and the campus-community.

Responsibilities

Manages the daily and administrative operations of the Fitness unit. Reports to the Rec Sports Associate Director and Director of Fitness. Has autonomy to analyze and resolve problems, and determine appropriate action. Supervises Rec Program leaders/instructors. Provides recommendations for the development of the program budgets and typically, oversees implementation and monitoring of budget, inventory and other resources. Makes recommendations for policy changes. Provides strategic recommendations for the unit including program development and personnel management.

Responsibilities
  • Programs: Plans, organizes and supervise the implementation of fitness programs including fee-based progressive programming at the RSF, other campus locations, and virtually. Assess and recommend changes to maintain compliance with federal and state requirements and internal policies. Develop and expand virtual program content across multiple platforms and formats. Activate new or updated in-person and virtual fitness programming each semester. Ensure consistent delivery of quality customer service to various constituencies and sets the benchmark for collegiate recreation fitness programming. Outreach to community organizations and businesses to promote and implement profit generating programs and activities. Network with local and industry Fitness professionals in support of programming and recruitment efforts.
  • Supervision: Supervises employee performance, career development and adherence to job standards. Supervise the work of employees and interns in the unit. Responsible for quality and quantity of work in accordance with internal and campus policies and procedures. Identifies, distributes, sets up, and monitors the progress of work. Supervises Rec Sup 1 - Fitstaff Coordinator and Graduate Intern Positions which includes responsibility for management and optimal operation of weight room and cardio equipment spaces, and associated training of staff on equipment, inventory of equipment, and safety and customer service protocols. Selects, trains and supervises staff. Hires new employees, transfers, promotions, salary actions, terminations, performance management and budget recommendations. Selects, develops, and evaluates personnel to ensure the effective and efficient operation of the unit. Develops employee work schedules and work assignments. Conduct orientations and trainings for employees. Ensure safe working conditions and implement health and safety policies, and as appropriate, personnel policies in the daily work setting. Identify and suggest corrective action as necessary. Audit performance and meet with instructors each semester or as needed to provide coaching, support, and appropriate resources. Monitor required campus and Rec Sports staff certification and training requirements to ensure compliance. Identify and promote professional development opportunities on campus and within the fitness industry. In the absence of supervisor, assumes temporary responsibility for day to day operations of Fitness Unit including customer service and employee concerns, unexpected facility and program changes, and emergency response situations.
  • Budget: Ensures compliance with assigned budget and makes budget recommendations to manager for assigned activities/programs. Participates in the creation, maintenance and reporting of operational and budget processes, staff FTE, finance, human resources and facility use. Responsible for identifying and activating profit generating programs and activities to meet annual budget requirements. Monitor quarterly budget reports for accuracy and program performance. Provide supervisor with budget updates and make recommendations for group exercise and fee-based programming.
  • Facilities and Equipment: Plan and schedule facility/space usage in collaboration with Rec Sports Scheduling Department. Submit requests for use of recreational facilities. Oversees inventory, storage, budget and maintenance of Fitness equipment. Responsible for ensuring that fitness spaces are safe, clean, well-maintained, and organized. Confer with Facilities Department to coordinate equipment or facility updates or repairs. Maintain audio equipment in good working order at all times. Needs to be able to diagnosis and troubleshoot problems as they arise.
  • Promotion: Assists with appropriate public relations and promotional programs including member outreach, social media, and general promotional programs. Collaborate with internal and campus partners to develop effective public relations and promotional outreach to generate interest and attendance. Represents and promotes professional conduct, university good will and high standards at events and university designated activities. Coordinate Fitness unit participation in department and campus special events and activities including recruiting staff, securing equipment, and budgeting. Contribute to the development of an assessment tool to measure member experience and satisfaction data including instructor performance.
  • Risk Management: Provides Recommend, implement, and monitor risk management oversight for fitness unit procedures to ensure the safety of participants and employees. Implement program policies and procedures. Ensure adherence to safety guidelines. Report safety issues to appropriate personnel, recommend improvements, and monitor the outcome. Implement program policies and procedures. Update instructor handbook annually to reflect industry best practices.
  • Administration: Provide detailed administrative support for the Fitness program including all forms and documents related to recruitment, hiring, training, annual contracts, payroll, class scheduling, class audits, and purchasing. Maintain files, records and prepares reports in response to supervisor requests and as necessary. Manage payroll and class schedule using Mind Body Online software. Produce informative Group Fitness staff newsletter each week to ensure staff is fully apprised of Rec Sports and the campus community updates and news. Coordinate bi- annual Fitness team meetings. Support overall unit operations and administration as needed.

Required Qualifications
  • Strong knowledge of program activity and industry best practices.
  • Demonstrated strong leadership and interpersonal skills and the ability to work effectively across the organization, internally and externally in non-routine situations.
  • Uses highly developed and creative problem solving skills to deliver and foster a strong service orientation, program management, and sound judgment and decision-making; uses strong critical thinking skills to develop original ideas, in a varied and challenging environment.

  • Thorough proficiency in the use of basic computer applications relevant to job duties.

  • Working knowledge of the campus, its mission, vision, goals, objectives, achievements and infrastructure.

  • Good judgment and effective decision-making and problem resolution skills, including skill to recognize and deal effectively and appropriately with real and potential problem areas, including skill to determine the issues/problems that need to be brought to the attention of higher level staff and/or management.

Education
  • Bachelor's degree in related area and / or equivalent experience / training.

License/Certifications
  • Red Cross CPR required.
  • Standard First Aid Training Certification required.
  • NCCA qualified Fitness certification (e.g. ACSM, NASM, NSCA)

Preferred Qualifications
  • Strong knowledge of campus policies and procedures.
