Departmental Overview

The College of Environmental Design brings together instruction and research in architecture, city and regional planning, landscape architecture and environmental planning, and urban design.

The Executive Assistant reports directly to the Dean to ensure administrative processes and office operations run smoothly in the Dean's office. Demonstrates good judgment in selecting methods and techniques for obtaining solutions. The EA must be able to work independently while juggling a wide range of issues and tasks, both long-term and immediate, and have good judgement skills in setting priorities. The incumbent will be faced with frequently changing priorities and tasks, and must be able to pivot and re-prioritize as necessary. The EA will be handling sensitive issues, and must demonstrate discretion and political acumen. This individual will interface with a wide range of constituents, from students to campus leadership, and must hold themselves to high level of professionalism and demonstrate excellent communication skills in all situations..

Responsibilities

50% Oversees daily administrative operations for the dean, including: --Develops and implements efficient and effective systems for managing information, projects and communications to ensure accurate and timely responses. --Manages the dean's calendar for on-campus meetings. --Arranges UC Berkeley-required travel and accommodation and handles reimbursements for UC Berkeley-related expenses. --Functions as the gatekeeper to prioritize issues according to urgency and to allocate time for scheduled events, travel and meetings. --Responds to inquiries from faculty, staff, students and the public on behalf of the dean regarding organization operations, policies and procedures. --Briefs the dean on deadlines and the status of pending issues. --Drafts and coordinates dean's communications. --Organizes ad hoc committees appointed by the dean on a broad range of issues. --Takes meeting notes and follows up on action items. --Investigates issues and problems, drafts and prepares responses to urgent requests. --Prepares confidential reports and briefings. --Makes high level contacts of a sensitive nature, internally and externally, requiring discretion and diplomacy.

25% Assists with planning, budgeting and execution of a wide variety of events, from small donor dinners to large campus-wide events such as Commencement. Knowledge of and adherence to campus policies and protocols. Reports to dean's office MSO on campus-wide events and takes direction as needed. May need to work some evenings and weekends.

25% Assists with research and outreach for strategic initiatives, both academic and development to determine feasibility and procedures for advancing selected initiatives.

Required Qualifications
  • Solid analytical / problem-solving skills.
  • Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies.
  • Strong service orientation.
  • Strong skills to communicate effectively with all levels of staff, faculty, alumni / donors, students and external constituencies, both verbally and in writing.
  • Strong writing skills.
  • Ability to multi-task with demanding timeframes.
  • Ability to use high-level discretion and maintain a high level of confidentiality.
  • Solid skills in problem identification.
  • Bachelor's degree in related area and / or equivalent experience / training.

Preferred Qualifications
  • Familiarity with the organization's processes, protocols and procedures.
  • Knowledge of federal regulations such as FERPA.
  • Thorough knowledge of common organization-specific and other computer application programs.
  • Ability to strategize and prioritze.

  • The salary range designated for this position: $69,600 - $74,000; however, starting salary will be commensurate with experience.
