Educational and Experience Requirement:

Associates degree with coursework in Business Administration or related field. Four years relevant experience preferably in a university setting. Experience in finance, accounting, budget analysis, or equivalent is preferred. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

Nature & Purpose of Position:

Performs complex administrative assignments as directed by the Assistant Vice President for Finance & Controller and Office of the CFO and Senior Vice President for Operations. Provides advanced assistance to administrative officers of the University in coordinating business activities.

Primary Responsibilities:

Works for the Assistant Vice President for Finance & Controller and supports the Office of the CFO & Senior Vice President for Operations. Processes correspondence and answers requests of a complex nature, referring matters which are highly complex, controversial, or specialized to the appropriate authority level. Processes incoming and outgoing correspondence. Processes all travel for Assistant Vice President for Finance & Controller from initial requisition to completed reimbursement. Completes EPAFs and hiring processes. Reviews budget items for the departments that report to the Assistant Vice President for Finance & Controller. Processes various purchases done by either requisition or interdepartmental forms. Oversees office records to include the tracking of daily document flow and filing of all office correspondence. Completes all purchases of office goods and services. Manages departmental procurement card activity and the responsibility of processing transactions, monthly reconciliation and reporting to procurement personnel. Explains procedures relating to activities performed in the department and throughout the Division of Finance and Operations. Completes other administrative functions as assigned. Supports administrative functions for the office of the CFO & Senior Vice President for Operations as well as occasionally supporting other areas within the Division of Finance and Operations. Performs other related duties as assigned.

Other Specifications:

Excellent interpersonal skills and professionalism expected. Must be organized, detail-oriented, proficient in Microsoft Office software, and have excellent verbal and math skills. Requires accuracy in all phases of work. Must meet schedules and timelines and exercise initiative, independent thought, and judgment over non-routine budget and administrative tasks. Ability to develop and maintain effective working relationships. Knowledge of, or the ability to learn, university policies and procedures. Knowledge of accounting procedures and methods and the ability to apply them to difficult or complex situations. Organizational skills in managing projects simultaneously while maintaining a satisfactory work product. Ability to identify problems, evaluate alternatives, and implement effective solutions. Ability to communicate effectively in both oral and written form. Ability to compile, organize, interpret, and communicate financial data and results in a concise format. Ability to explain policies and procedures to staff and the public. Ability to establish and maintain a good rapport with university faculty, staff, students, and the general public. Ability to work with and maintain confidential information.
