Job Description:

As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University seeks an Administrative Assistant for St. Joseph’s College of Marian University. This professional will provide primary administrative support to the Chancellor of St. Joe Indy and will promote our Catholic Franciscan mission and identity by being the first point of contact for students, faculty, staff and guests. This includes incoming phone calls, scheduling appointments and greeting families and students. The Administrative Assistant will need to demonstrate a high-level of situational awareness when addressing the public’s questions and route them to the appropriate faculty/staff member. This position requires strong organizational skills, patience with others, and ability to display a calming, de-escalating helpful approach to client stresses and concerns. Essential Duties & Responsibilities:

  • Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values and honoring the legacy of the founding congregation through transformative education, unity in diversity, leadership through service, integrating faith and life, and institutional policies
  • Oversees inventory of supplies and equipment, as well as purchase orders and requisitions
  • Serve as proxy of paper and computer-based exams and quizzes assuring individual student accommodations are implemented as well as daily interaction with instructors/faculty, and students by phone, in-person and via e-mail.
  • Responsible for maintaining the Chancellor’s calendar and scheduling. Must be capable of basic trouble shooting technical problems with computers, office equipment etc.
  • Supervise student workers and involved in decision-making related to student conduct violations related to testing protocols, including filing reports
  • Some extended hours may be required during high volume exam periods and unique circumstances.
  • Participates in developing department goals, objective, and systems
  • Assists to establish department measurements that align and support the accomplishment of the University’s strategic goals
  • Adheres to the department budget
  • Serve as a liaison by coordinating, planning and organizing meetings for St. Joseph’s College Board of Visitors (BOV), taking minutes as needed during meetings
  • Additional duties as assigned

Required Qualifications:

Required Qualifications:

  • Associate’s degree required
  • Minimum of 5 years of experience in an administrative support role
  • Excellent customer service, verbal, and written communication skills
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
  • Strong organizational and time management skills as well as attention to detail
  • Computer and related software skills to include Microsoft Suite, and other electronic based tools.
  • Typing, drafting, filing, data entry, proofreading and editing skills
  • Ability to identify routine problems and implement or recommend solutions
Preferred Qualifications:
  • Bachelor’s degree preferred
  • Prior higher education experience
  • Understanding of accommodations in higher education
  • Comfortable with supporting senior leadership
  • Comfortable working with diverse student populations
