Job Description:

POSITION: Part-Time Staff Assistant: English Language Success Programs: Center for Adult Basic Education;18 hours per week; Non-Union, Non-benefited position; located on the Lawrence Campus.

SUMMARY: This PT Staff Assistant will work closely with the Assistant Director and Coordinator of English Language Success Programs to perform a variety of support functions including but not limited to creating and maintaining databases, tracking and monitoring activities, reviewing and analyzing data, preparing reports, responding to inquiries, inventory management, and purchasing.


  1. Perform data entry, processing, and other office-related duties
  2. Assist in reconciling the budgets and tracking program expenditures
  3. Assist in collecting data to prepare reports for TRADE, ITA, Section 30, and other related workforce retraining and unemployment assistance programs.
  4. Order supplies, textbooks, and other course materials
  5. Prepare RTE and other hiring materials for instructors and staff.
  6. Assist in the preparation and submission of state annual reporting and other reports as needed.
  7. In conjunction with Enrollment Services, create a noncredit schedule of programs and classes, CRN for each noncredit course in Banner and 25 Live, create records of completion, certification, and transcripts.
  8. Coordinate student assessment testing and course placement with advising team
  9. Participate in regularly scheduled meetings of the team and the department
  10. Participate in training sessions for enrollment, registration, and Banner related activities
  11. Prepare progress and tracking reports according to MassHire regulations and guidelines
  12. Ensure all ITA and Trade-eligible programs are updated and maintained in Training Pro
  13. Work closely with the finance department to prepare yearly budget and revenue reports
  14. Submit payroll for instructors on a regular biweekly schedule
  15. Manage expenses for grant-funded programs and requisitions for expenses
  16. Assist with marketing projects and monitor the NECC website for course programming updates and information
  17. Assist with the implementation of a wide range of noncredit education and workforce training programs.
  18. For fee-based programs and classes, manage and tracks student bills and payments.
  19. Perform other duties as assigned

Reports to: Assistant Director, English Language Success Programs



  • Associate's or higher degree in business, administration, or a combination of education and experience
  • Proficiency with Microsoft Office
  • Strong written and oral communications skills


  • Bachelor's Degree
  • Proficiency with Banner, Training Pro workforce, and institutional software
  • Bilingual fluency - English/Spanish.
  • Experience working with and supporting a culturally and linguistically diverse, urban population

Northern Essex Community College, with campuses in Haverhill
