Primary Function:

The Business Manager will assist the Business Administrative Associate and is responsible for the coordination of the business and service operations of the College of Liberal Arts and Science college level office. They will also support CLAS departments during office staff shortages.

Duties and Responsibilities (generally):

This position reports to the college Business Administrative Associate (BAA) and interacts daily with the CLAS Business Office team (including the BAA, Business Manager II and Office Administrator) and CLAS unit office staff throughout the college.

  • Oversee college funds and complete all necessary paperwork related to expending funds in the college office. Prepare transactions including journal entries and accounts payable forms as needed. Maintain a record of expenditures and reconcile financial information monthly for college office cost centers. Analysis college cost center, moving expenses via journal entry as needed.
  • Maintain expert knowledge of University procedures and other regulation pertaining to the business operation of the College and audit purchase and expenditures for their conformity to the procedures and regulations .
  • Review all financial paperwork sent to the college office for accuracy and completeness, making decisions on accuracy and use of account codes. Direct office managers/administrators on corrective actions to paperwork submitted to the college office before submitting paperwork to BAA for approvals.
  • Review and process civil service, extra help and student personnel transactions (paper and electronic) on all funding sources for hires in the College office.
  • Assist in training new office support staff in the College and assist in addressing the operational needs to the College .
Communication with department office managers and central unit (Accounting, Procurement and Human Resource) personnel is common.

Minimum Required Qualifications for this position:

A. Bachelor’s degree in accountancy, business administration, management, or a closely related field.

B. Three (3) years (36 months) of work experience in accounting, business administration, fiscal management, or closely related experience.
– OR -
C. A combination of such education and/or work experience totaling three (3) years (36 months), as measured by the following conversion table or its proportional equivalent:

  • 30 semester hours equals one (1) year (12 months)
  • 60 semester hours or an Associate’s Degree equals eighteen months (18 months)
  • 90 semester hours equals two (2) years (24 months)

Education and Experience Preferred:

Experience working with fund accounting.
Experience in higher education setting.
Experience with Microsoft Suites, particularly excel.

List the knowledge, skills, and abilities critical to the performance of this position.:

Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership techniques, production methods, and coordination of people and resources.Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, data entry, designing forms, and other office procedures and terminology.Knowledge of technology including electronic equipment, computer hardware and software, and their applications.Knowledge of basic arithmetic, algebra, statistics, and their applications.Ability to work independently and effectively organize and prioritize multiple tasks.Ability to identify complex problems and review related information to develop and evaluate options and implement solutions.Ability to work collaboratively and communicate effectively as appropriate for the needs of the audience.Ability to analyze and develop guidelines, procedures and systems to outline specific goals and implement plans to prioritize, organize, and accomplish tasks.Ability to manage a budget and work within the constraints of that budget.Ability to analyze, interpret, and explain work related documents, policies, and procedures.

M-F 8:00 - 4:30

Minimum Pay Rate (Hourly or Monthly):

$16.50/hour
