This is an event planning position within Leeds School of Business and is responsible for the planning, project management and implementation of Leeds Advancement events, including but not limited to alumni and donor events, as well as signature Leeds events such as graduation. The position will work under minimal direction on a broad array of critical projects and tasks, and may provide functional guidance to interns and student workers. Duties and tasks reflect variety and complexity, and require either the direct or indirect supervision of assigned programs and projects.
Leeds events directly impact the school's image and reputation, its relations with the community, student recruitment, alumni and corporate relations, fundraising, and the student experience, therefore it is critical that the event planner carries out a high quality event.

What Your Key Responsibilities Will BeEvent planning for major events for Leeds
  • Serve as lead event planner and resource for Leeds Advancement events such as alumni, donor, and corporate partner events, as well as signature Leeds events like graduation.
  • Responsible for the planning, project management and implementation of specific events.
  • Collaborate with alumni relations, advancement, corporate relations, and other internal teams, offices, and departments to plan and carry out events.
  • Serve as staff liaison and resource on events to the Leeds alumni boards.
  • Participate in the evaluation and recommendation process for whether to hold an event, paying particular attention to whether the event enhances the intended audience experience.
  • Make recommendations for event efficiencies, redundancies and potential event collaboration.
  • Establish and meet all timelines.
  • Responsible for event execution and logistics including preparation of the dean and/or other speakers as well as registration and supervising vendors.
  • Recruit and supervise other staff and student volunteers in their assigned roles during event.
  • Trouble-shoot problems when they arise without drawing the attention of guests.
  • Engage with attendees and provide excellent customer service.
  • Conduct event de-brief meeting in a timely manner and determine ways to improve the event or consider dropping or changing the event.
Administration, Event Calendaring
  • Maintain and update the school's event calendar. Post events on Leeds and the University's websites. Work with the Colleges and University's event calendars to avoid scheduling conflicts.
  • Position will assist with the development and management of program budgets. Position will review "budget-to-actual" status on a monthly basis and address any significant concerns.
  • Manage invitation lists and send event attendance lists to be uploaded into Advance.
  • Create error-free hard copy and electronic invitations, Save-The-Dates, event reminder emails, post event emails and other communications as needed.
  • Develop and oversee advancement calendar that showcases all events, with details about who will be there, about the event, who is the contact, etc.
Event Brand Management across Leeds/toolbox
  • Brainstorm, collaborate and recommend event topics, content and speakers to ensure all events reinforce our mission, vision, values, reputation and brand attributes.
  • Collaborate with the Colleges Office of Communications and Marketing and University Advancement events team to create visual brand guidelines around events and ensure that events meet University and College branding requirements.
  • Responsible for developing publicity and communications plan and timeline for each event.
  • Create registration pages via Salesforce.
Contract Management
  • Secure venue and vendors and initiate contract routing, working closely with Leeds Accounting and Procurement staff.
  • Settle and supervise relevant event contracts ensuring favorable terms and cost efficiencies.

We anticipate that this position will support a hybrid format (remote and in-person work). Depending on the time of year and events schedule, in-person requirements may vary.What We Can OfferThe salary range is $53,000 - $60,000 annually.   • One year of experience planning and coordinating events. Experience can include internships, volunteer work, and relevant school assignments/projects.

  • Good understanding of event planning and execution techniques, branding, messaging, timelines, creating invitations and other written communications and event planning standard methodologies.
  • Exceptional verbal communication skills.
  • Ability to convey key concepts through the use and analysis of quantitative data.
  • Demonstrated ability in budget management and analysis of the return on investment of event and marketing resources.
  • Ability to identify and solve problems and react quickly. Excellent judgment and decision-making skills.
  • Ability to prioritize, manage projects, staff, students and volunteers. Highly organized and strong attention to detail.
  • Excellent proofreading skills. Ability to think creatively.
  • Exceptionally poised, professional and diplomatic. Superb customer service skills.
  • Ability to build strong relationships and serve as a liaison between multiple parties. Exceptional level of integrity and professionalism.
  • Ability to work independently and collaboratively as part of a team.
  • Proficient in Excel and other Microsoft Office programs.

  • Experience with planning events of 200+ attendees.
