Detailed Description:
The Assistant Director for Law Student Affairs reports directly to the Assistant Dean for Law Student Affairs and is responsible for contributing to a robust student experience by providing management of major events, student programming, major communications, and special projects, as well as by serving as an academic advisor. The Assistant Director for Law Student Affairs works in a collaborative relationship with all JD students, faculty, administrative offices, and university offices and actively participates in implementing procedures to enhance the overall effectiveness and efficiency of the Law Student Affairs Office. The ability to provide timely and accurate communication is an essential component of this position. This position requires occasional attendance at on and off campus events during and outside normal business hours. Supervision received: works under the general supervision of the Assistant Dean for Law Student Affairs and has a dotted line to the Director for Law Student Affairs in the area of academic advising. Supervision exercised: supervises and trains Law Student Affairs Coordinator (EA1). Hires, trains and supervises work study students in the Office for Law Student Affairs.

Duties and Responsibilities:
Management and Administration of Major Events
  • Responsible for ensuring successful execution of major and special events. Provide management and administration for over 10 school-wide events and 5-8 student-specific events ranging from 50-300 people sponsored by the Law Student Affairs office each year, including Orientation, Commencement, and Student Leadership Recognition.
  • Act as the primary interface with all administrative offices to coordinate calendars for major events.
  • In conjunction with the Assistant Dean and/or Director, develop and recommend event programs, schedules, and budgets for each event.
  • Manage all logistics for each event and provide reports to the Assistant Dean of status and cost of each event at necessary intervals.
  • Act as liaison with other university departments and the outside community relating to Commencement and Orientation activities.
  • Represent the law school on event Advisory Committees.
  • Oversee event marketing plans, including mailings, program materials (brochures, flyers, electronic signage, etc.) and web materials, including updating online calendars, postings and event sites.

    Coordinate Programming and Special Projects
  • Coordinate all student retention programming, such as 1L lunches with the Dean and other activities during 1L week, with new efforts to be designed in line with best practices.
  • Develop and recommend new, non-academic student programs as needed.
  • Work with the Director for Law Student Affairs to routinely assess and evaluate all academic and non-academic programming and revise as needed.
  • Manage special projects as needed by the Assistant Dean for Law Student Affairs.

    Manage Wellness Programming and Resources
  • Serve as law school liaison to university on all matters related to student health insurance and immunizations.
  • Represent law school at campus-wide meetings related to student health insurance.
  • Interface with Student Health Center to ensure law student compliance with immunization requirements.
  • Develop and recommend new and enhanced student programming related to health and wellness, specifically geared toward the law school population.
  • Work with university wellness units to advertise existing wellness programming and resources to law students.
  • Coordinate with university wellness units to bring programming (i.e. QPR, etc.) to the law school.
  • Develop and prepare monthly Live Well @ USD Law communication to the law school.
  • Oversee the Live Well @ USD Law website and resources.

    Provide academic advising for JD students
  • In conjunction with the Director for Law Student Affairs and Associate Director for Law Student Affairs, advise students on the academic program of the law school and provide individualized advice for student schedules, concentration paths and other academic related questions.
  • Assist in ensuring the delivery of quality academic advising and support services for new, continuing and visiting students.
  • Support Director for Law Student Affairs in academic advising and tracking of students subject to Academic Supervision rules. Meet with students on Academic Supervision and ensure they are supported, understand their requirements, and are enrolled in appropriate courses.

    Student Affairs Communications
  • Develop and implement the overall student communications strategy for the Law Student Affairs team, including weekly Sidebar e-newsletter.
  • Identify appropriate communications platforms, manage communications systems.
  • Manage the Law Student Affairs webpages, newsletters, and email campaigns from new student engagement to graduation.
  • Work with the Dean's office, Communications office, and other units on communications priorities and projects.
  • Identify opportunities for marketing and publicity on student life and Law Student Affairs and share with the Communications office to support school-wide communications priorities.
  • Manage department master calendar and coordinate with the Dean's office and others on campus to ensure efficient engagement of students.
  • Develop and maintain monthly, semester, and annual communication schedules.

    Office Operations
  • Manage day-to-day operations within the Law Student Affairs office, including supervising and training support staff, i.e., Coordinator for Law Student Affairs work study students and temporary assistance, workflow and office functioning
  • Supervise the Coordinator for Law Student Affairs on a day-to-day basis on events, programming, and student services.
  • Provide guidance to the Coordinator for Law Student Affairs on budget administration including processing of journal entries and appropriations as needed to correct errors, reconcile budgets, and ensure accurate budget records.

    Job Requirements:
    Minimum Qualifications:
    Assistant Director
  • Graduate degree required.
  • Minimum of two-three years professional experience required.
  • Experience working in a law school setting is preferred.

    General
  • Experience managing major events required.
  • Experience managing communications platforms and campaigns required.
  • Excellent organizational skills and attention to detail is critical.
  • Ability to handle confidential information, exhibit good judgment, and exemplify appropriate customer service in working with students, faculty, and all levels of university staff and officials.
  • Proven skills in written and oral communication.
  • Demonstrated commitment to diversity, equity and inclusion in an academic or professional setting.
  • Ability to prioritize workload effectively and meet deadlines with minimal supervision.
  • Ability to take initiative in managing projects and ability to develop and keep to timelines.
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Ability to be proactive with respect to suggestions for improving all aspects of the programs
  • Strong computer skills for spreadsheet reporting, word-processing, database maintenance, web-design and maintenance. Minimum of intermediate experience with Word, Excel and MS Outlook required. Experience with web content development preferred.
