SUMMARY:

Under minimal supervision, coordinates, oversees, and/or performs a wide variety of administrative, secretarial, and program support activities on behalf of the CCE’s student-facing office, Bonner Scholars Program, and the CCE’s Community Relationships Team. Serves as the primary point of operational and administrative contact for internal and external constituencies. Coordinates the provision of office and staff support services to the office, and oversees and/or participates in the coordination, supervision, and completion of special projects and/or events.

RESPONSIBILITIES:

ADMINISTRATIVE SUPPORT

  • Provides administrative support and office management for CCE’s student-facing office such as answering telephones, distributing mail, assisting visitors, ensuring office coverage, maintaining and ordering office supplies and equipment, managing space reservations, and resolving and/or referring a range of routine administrative problems and inquiries following University policies and procedures. Serves as a primary point of direct administrative contact and liaison with other offices, individuals, and external organizations and agencies on a range of specified issues. (15%)
  • Monitors, coordinates, and processes payments for the Student Engagement Team (SET) and Community Relationship Team (CRT) budget indices, including P-Card reconciliation, travel and expense reimbursements, including student reimbursements, check requests, and one-time payments; reviews monthly budget transaction reports for the SET, CRT, and BSP budgets and prepares correcting journal entries as required. (15%)
  • Provides confidential administrative support for the student engagement (SET) and community relationships (CRT) teams to include making travel arrangements, dealing with administrative problems and inquiries as appropriate, assisting with correspondence and written documentation, and with the coordination, supervision, and completion of special projects for the CCE’s CRT and SET teams. (10%)
  • Gathers, enters, and/or updates data to maintain Bonner Scholars Program and other records and databases, as appropriate; coordinates the tracking of student information for the Bonner Scholars Program, prepares and submits relevant scheduled and ad hoc reports. (10%)
  • Monitors and coordinates accounting activities relevant to Bonner Scholars Program, and prepares internal reports for management; participates in budget planning and management, as required, including reservations, logistics, operating budget, communications, and record keeping. (10%)

PROGRAMMATIC SUPPORT

  • Organizes and supports various meetings, conferences, and other special events related to supporting the Bonner Scholars Program, the student engagement team, and the community relationships team. Responsibilities include reservations, event logistics, communications, catering, and record-keeping; provides occasional on-site event coordination, including problem-solving, decision-making, and interaction with students, faculty, volunteers, and vendors. (15%)
  • Manages the University’s Community Work-Study program. Responsibilities may include: recruitment of students, coordinating and assisting in job placement for students in community placements per federal and university regulations, ensuring timely completion of student employment paperwork; interpreting student employment policies and procedures to students; managing payroll processes for participants; training and problem-solving. (10%)
  • Supervises student office assistants. (10%)
  • Performs miscellaneous job-related duties as assigned. (5%)

QUALIFICATIONS:

  • Strong interpersonal communication skills and the ability to work effectively with a wide range of constituencies in a diverse

EDUCATION & EXPERIENCE:

  • GED and 2-4 years administrative support experience required with demonstrated project management; student development and higher education experience preferred

WORK HOURS:

  • Full-time, non-exempt position
  • Monday – Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week

SALARY STRUCTURE:
Pay Grade 4 (Hiring Range $17.18 to $21.48 per hour)
