Rhodes College is seeking applications for Assistant Registrar. The Assistant Registrar manages day-to-day operations in the Office of the Registrar. This position requires the ability to interpret college policies, accurately update student records, and offer general advising support to students, faculty, and staff. The Assistant Registrar provides front-line support via timely responses to student record and data inquiries received in person, phone, or the TopDesk ticket system.

 

 

Job duties include but are not limited to the following:

 

  • Facilitate and update registrar documents and forms in alignment with the academic calendar. Maintain Registrar department website as well as facilitate website updates with Communications department.

     

  • Collaborate with Rhodes Express, Enrollment Services, and International Programs as it relates to form submission and business process.

     

  • Support Associate Registrar with review of students' DegreeWorks graduation verification and update records as needed.

     

  • Process manual exceptions in students' DegreeWorks records, including approved departmental major/minor substitutions and Foundation requirements.

     

  • Serve as primary point of contact for students and faculty regarding test-based transfer credit articulation, including updating student records with credit for AP, IB, etc.

     

  • Lead waitlist batch process and maintain waitlist priority lists and seat availability for faculty.

     

  • Assist with graduation related activities such as maintaining inventory and ordering diplomas and diploma covers. Process student data updates based upon the intent to graduate application.

     

  • Maintain student records, including class registration, holds, biographical information, and faculty advisor assignments.

     

  • Review the College Catalogue each academic year to ensure consistency after catalogue editing process is complete.

     

  • Coordinate distribution of Mid-Term grade reports for Fall and Spring semesters.

     

  • Adhere to FERPA guidelines related to student data.

     

  • Supervise student employees within the Office of the Registrar.

     

  • Manage the inventory of office supplies as well as maintain files and record keeping systems for office records.

     

  • Verify student-athlete academic standing and communicate with the athletic department as it relates to NCAA academic compliance.

     

  • Other duties as assigned.

     

 

Job Requirements:

 

  • Rhodes College requires all employees to be vaccinated for COVID-19 with exceptions for medical or religious reasons, which will be handled on a case by case basis.

     

  • Bachelor's Degree is required.

     

  • Minimum of three (3) years of experience in a Registrar/records office.

     

  • Proficiency with Microsoft Office is required; proficiency with database maintenance and reporting is preferred; experience with Workday, Banner, and DegreeWorks is preferred.

     

  • Ability to work effectively and maintain confidentiality with students and their families, faculty, staff, and alumni.

     

  • Must exhibit professionalism in working effectively with diverse constituencies.

     

  • Demonstrate ability to organize numerous projects requiring attention to detail and consistently meet deadlines.

     

  • Strong organization and technology skills required.

     

  • Excellent written and oral communication skills required.
