The School of Dental Medicine Administrative Department has an opening for a full-time University Staff (unclassified) Executive Assistant to the Dean position.

Job Responsibilities

Executive Assistant – 100% (Essential Function)

The duties and responsibilities of the Executive Assistant include, but are not limited to, the following:

    Position will facilitate all internal and external, verbal and written, communications from the Dean’s Office. This includes greeting guests, answering phones, and assisting in the areas of social media and website, maintenance of newsletters generated, general announcements, and written correspondences. Position is responsible for keeping the Dean and the Associate Deans’ calendars, scheduling meetings, responding to emails and written correspondence to and from the Dean.Maintain the files for Faculty evaluations, report and track vacation and sick leave time for the Dean, Associate Deans and others within the Deans office.Exercise delegated financial authority regarding office operating budgets: procurement cardholder, reallocate procurement card transactions, reconcile accounts, analyze discrepancies, and solve as appropriate.Anticipate the needs of the office by independently researching and determining the appropriate documents needed for meetings and develop reports, position papers, and policies as necessary; independently make decisions on the daily activities of the Dean by determining the priorities of constituent issues and problems, handle directly or refer problems and issues to appropriate department or individual; follow-up phone calls and mail; further utilize this knowledge to organize and route all correspondence as appropriate.Playing a key role supporting the leadership in the completion of accreditation documents for the Commission on Dental Accreditation self-study and site visits that occur on a cyclical basis every seven years, and University associated strategic planning processes.Coordinate arrangements for various School of Dental Medicine official functions to include some limited evening functions, local dental society meetings, staff meetings, faculty awards banquets, faculty retreats, graduation activities, some alumni activities and visits to the school by public officials and dignitaries.When required this position will be responsible for attending various meetings and taking minutes for committees and task forces.
Other Duties(Non-essential Function)

On occasion, this position may be assigned other duties needed to help drive to the vision, fulfill the mission, and uphold the organizational values of CU Denver/Anschutz and the SDM.



Qualifications
Minimum Requirements

  • A Bachelor’s Degree in communication, marketing, journalism, English, social sciences, health, or a related field
  • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis
Experience working for executive level administrators in a high-paced environment.Preferred Qualifications

  • Experience working in higher education, public sector, or non-profit sector with progressive responsibilities, including working knowledge of university administrative and fiscal policies and procedures and campus/organizational structures.
Competencies

    Ability to manage in an executive office in an effective and efficient manner.Ability to establish priorities in an executive setting.Well-developed, professional skills in the areas of communication and office management.Ability to exercise tact, diplomacy and confidentiality in a variety of situations.Experience using Microsoft Office, Word, Excel, Power Point, Access and Outlook.
    Ability to interpret existing School, University, State and federal policies, procedures and rules.Strong verbal and written communication skills.Ability to organize and complete complex work activities, frequently with short deadlines. Ability to establish and maintain effective relationships with faculty; staff; students; school, campus and university administrators; vendors and contractors.Excellent oral and written communication skills Ability to anticipate needs and priorities  flexible  collaborative, yet able to work effectively with high degree of independence  Ability to plan, organize and implement communication policies and operations Familiarity with project management
Communications:

Interaction with faculty and staff on a daily basis. Strong communication skills and problem solving skills for dealing with a variety of personalities and various levels of stress at times.   Must be able to maintain confidentiality.

Salary and Benefits:

The salary range (or hiring range) for this position has been established at $48,786.00 to $62,000.00

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.
