Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.:

  • Ability to write and speak clearly in English and prepare clear, concise, and grammatically correct correspondence.
  • Demonstrated experience in interpreting written policy statements, reports, and/or procedures and communicating information to internal and external stakeholders.
  • Demonstrated experience in handling multiple projects simultaneously.
  • Demonstrated experience in creating electronic documents using MS Office Suite (Word, Excel, PowerPoint) as well as Adobe Acrobat.
  • Demonstrated work experience in a similar position.

Preferred Qualifications:

  • Demonstrated experience in managing contracts and/or projects.
  • Demonstrated experience in creating and manipulating large data sets in Excel with the ability to use complex formulas, conditional formatting, tables, and graphs.
  • Ability to provide technical assistance with iOS devices and applications.
  • Bachelor’s Degree
  • Knowledge of Texas and Federal Tobacco Laws and Regulations

Job Description:

  • Assist in the overall administration, coordination, training, and monitoring of the FDA Tobacco Compliance Check Program.
  • Prepare and process program documents and organize correspondence to evaluate monthly program eligibility requirements for Contractors.
  • Review Contractor performance, validate completion of work, and process invoices for payment.
  • Provide training, technical assistance, and feedback to Contractors.
  • Assist in the planning and preparation of training events for contractors to include creation and revision of training materials, training equipment set-up, and travel arrangements.

Job Duties:

  • Monitor contract compliance such as performance, deliverables, invoicing, closeout, extension, budget adjustments, and renewals.
  • Maintain highly confidential program records and equipment inventory
  • Compile, create, analyze, and report data on a frequent basis using databases and Excel worksheets with advanced formats and formulas.
  • Maintain large databases with uploaded documents, spreadsheets, audio, video, and other current program information.
  • Conduct monthly, and quarterly program process audits to report to program management
  • Serve as point of contact to assigned contractors conducting field operations
  • Provide training and technical assistance to external contractors
  • Participate in on-call technical assistance rotation during weekends and holidays
  • Ensure attention to detail, data accuracy, and integrity on all work platforms
  • Conduct internet research to maintain current policy information and to provide instruction and direction to Contractors
  • Other duties as assigned

Additional Information to Applicants:

  • FDA Program continued employment is contingent upon passing a level 5 background check conducted by FDA to be commissioned.
  • This position is funded via a Federal contract. Continued employment conditional on annual renewal of contract.
  • Required to work hours other than 8:00 to 5:00 as necessary, including weekends
  • Between 10-15% of travel (overnight) required.
