14-Oct-2021 Close All Job SummaryThe University of Colorado Boulder Athletics department encourages applications for an Assistant Director of Athletic Operations and Events! This position will provide a high level of professional assistance to the Assistant Athletic Director of Stadium Operations and the Director of Folsom Field Events and Event Operations in the premium and event spaces located in Folsom Field, UC Health Champions Center, Dal Ward and Balch Field House. This position will be the primary contact for the athletic facility scheduling; excluding the East Stadium Club Level, CU Events Center and Kittredge Field. This position will also be responsible for event management, operations and staffing to provide superior events to all external and internal customers. Evening, weekend and some Holiday work hours required.
This position is responsible with assisting in the daily supervision and maintenance of the athletic facilities including event preparation and event management. Duties include assisting with the planning and management of various projects, procurement and contract management, facility maintenance, health and safety, communication and management of student work force.
This position is responsible for promoting the philosophy and objectives of the intercollegiate athletics program. This shall include adhering to the principles of the Athletic Department’s Mission Statement, Diversity and Inclusion Mission Statement, Core Values, Policies and Procedures, as well as the rules and regulations of the University, the Pac 12 Conference and the NCAA.

What Your Key Responsibilities Will BeEvent Management and Operations:
  • Provide on-site coordination for event management; including but not limited to athletic events, university events and outside events. Acts as the Athletic Departments liaison for campus events, community events and Folsom Field Events.
  • Assist with all matters of Football game day and assigned Olympic sport game day operations. Duties to include performing tasks related to all preparations for games and events, game day event execution and post event cleanup and restoration of facilities. Will need to adjust preparations for events based off of ticketing trends, historical data, weather forecasts, and other factors that determine size and scope of events.
  • Assist the Assistant Athletic Director of Stadium Operations by identifying and scheduling staff to support games and events. Use sound budget practices to avoid over staffing events. Help schedule/order items needed for events support such as table/chair rentals, supplemental lighting, portable restrooms, fencing, tents, etc. Handle distribution of equipment and pickup schedules.
  • Lead, oversee, and implement the Folsom Field Events - event operations and logistical plans within Athletic Department venues for all intercollegiate, campus, special and external events; manage budgets and master timelines for event and work requests; supervise, schedule and assign student employees for events; manage and serves as client liaison for event changes, event interruptions and event service requests; handle event safety and security, including alcohol service; coordinate with A/V staff and other CU facilities management, transportation and CU police departments to accommodate client requests and has the authority to approve assignment and staffing changes according to event operational needs; manage all non-catering/concession deliveries; identify and evaluate areas of operational improvement after completion of events; and ensure a positive experience at Folsom Field Events.
Facility Scheduling:
  • Implementation and integration of EMS (Event Management Systems). Evaluate current procedures related to facility scheduling and update all policies and procedures. Administer and manage facility and event scheduling for athletic facilities. Track all contracts and payments owed to the University of Colorado Athletic Department for facility rentals and staffing. Maintain and distribute facilities activity calendar, approve or deny facility rental for specific events and arranges technical requirements such as parking, staffing and any other services that might be necessary for the standards of event management within the Athletic Department within the University of Colorado.

Student Management:
  • Hire, train, manage and mentor student employees so that they can become integral personal within the department. Track, manage and submit payroll for all student employees with assistance of the Assistant Athletic Director. Determine staffing needs and levels which includes but not limited to setup, event management, breakdown and cleanup assignments.
Event coordination and client interaction:
  • Use Social Tables software to design event layouts for clients.
  • Provide knowledge site visits to potential clients.
  • Work as event coordinator FFE events.
  • Use EMS scheduling and C-Cure scheduling software to organize and plan events.
Maintenance and management of facilities and inventories:
  • Develop detailed inventory management checklists and pricing structure for in-house furniture and a/v rental; assesses and resolve event damage disputes.
  • Maintain quality working relationships with vendors and contractors to confirm and coordinate work.
  • Review documents for work requests for campus Facility Management to assess impact on event operations.
  • Use sound decision making when determining cost preventive measures when planning for improvement and maintenance within the facility.
Emergency Management:
  • Use ICS command structure and trainings to be prepared for emergencies. Respond appropriately to emergencies or urgent issues as they arise. These issues may not be facility related but may be athletic program related within regards to practices and competitions. Emergency issues will be dealt with on a case-by-case basis, but none the less are the highest of priorities and should be dealt with accordingly.

  • Please note this position requires significant evening and weekend and Holidays hours.
  • This is not a remote position.
What We Can Offer
  • The salary range is $52,000- $58,000 annually.

  • Bachelor’s Degree or equivalent combination of education and experience may substitute.
  • One year of experience in Athletic Facilities and Operations & Event Management.
  • One year of experience in game day operations.
    • Experience may include internships, volunteer work, graduate level work within an Athletics facility as well as professional experience.

  • Experience managing and planning special events.
  • Experience negotiating agreements and contracts.
  • Experience managing supplemental staffing needs.
  • Supervisory experience.
