Responsibilities This position will provide comprehensive administrative services the Department of Neuroscience & Regenerative Medicine for grant applications, progress reports, agency compliance. This individual will participate in day-to-day operational issues and the long-term planning for the grants and projects. Knowledge of and background in science is preferred. This is an entry level position. There is potential for advancement within the department. Duties will include Preparation of budgets for new grant applications, competing renewals, resubmissions, and progress reports. Complete pre-award grant activities such as proposal preparation, references and editing; proposal budget and justification; update biosketches; format & upload files to electronic platforms. Assist the Chair and Department Administrator and perform related duties as required or assigned. Must be very detail-oriented and self-motivated.   • Greet visitors, answers telephone, providing correct responses to a variety of questions that may be of a confidential nature (routine and non-routine) about the department's operations or policies, and direct customers to the appropriate resource when questions exceed knowledge.
  • Assist in planning and coordinating departmental programs, projects and special events.
  • Prepares and processes requisitions, purchase orders and other office forms and documents.
  • Maintain office supplies and equipment inventory. Make decisions on purchasing supplies at a value that does not exceed $50 per item and $500 per purchase; gathers and compiles information in support of recommendations for equipment purchases.
  • May monitor simple departmental budget, handle general bookkeeping duties and reconcile accounts. Gather fiscal data and submit to appropriate person to support development of the departmental budget or grant proposals.
  • Receive incoming correspondence, check and compare with previous communication, compose routine correspondence, format and type documents, proofread and edit draft material, determine priority of incoming material and route to appropriate personnel.
  • Maintain supervisor's calendar, schedule meetings, and make travel arrangements, process travel reimbursements, and other forms incidental to these responsibilities.
  • Coordinate and collect materials for faculty appointments and coordinate with Dean's Office or Office of the Faculty Affairs as appropriate. Coordinate the generating of various faculty and/or staff lists and statistical data throughout the academic year.
  • Assist the department chair in handling confidential matters related to faculty, staff and students.
  • Handle assignments that require a thorough knowledge of the department and/or institutional policies and procedures.
  • Prepare materials for presentations as seminars, conferences, meetings, etc. including handouts, brochures, pamphlets, transparencies, reports and the like. May assist at seminars, conferences and meetings as directed.
  • Perform all other related duties/tasks as assigned.
Required Qualifications Associate's degree from an accredited college or university in a related field and a minimum of three years¿ progressively responsible experience in administrative support positions.
OR
High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization and six years of progressively responsible experience in administrative support positions.Knowledge, Skills, & Abilities Ability to maintain confidentiality
