Position Summary:

This position serves as an assistant to the Department Head and oversees daily operations of the Horticulture department. It has responsibilities in the areas of faculty affairs, undergraduate education, graduate education, and general administrative support.

Knowledge, Skills, Abilities and/or Competencies:

Detailed knowledge of how the University of Georgia operates including policies and procedures of the College and Department; ability to effectively manage multiple and competing priorities; thorough knowledge of management practices and principles; thorough knowledge of budgetary policies and procedures; understanding of and ability to process information using various university online programs

Duties/Responsibilities:

Faculty Affairs:
- Works with faculty members and DH to prepare and move forward Promotion/Tenure packets, post-tenure reviews, three-year reviews, graduate faculty appointments/reappointments, emeritus packets, adjunct faculty packets, Hatch Projects, UGAJobs for faculty positions, and H-1B and Permanent Residency processes
- Maintains faculty/staff files; assists with faculty/staff evaluations
- Schedules/assists with various meetings and coordinates Zoom meetings

Duties/Responsibilities:

Administrative Duties:
- Assists faculty, staff, graduate students, undergraduate students with issues; Notifies faculty, staff, graduate students of trainings, seminars, department meetings, etc.; Gives faculty, staff, graduate students, undergraduate students access to training through eLC; Manages departmental conference room
- Assigns departmental keys/office & lab space; Oversees access to building and telephone services; Maintains state vehicles/keys/fuel card access and notifies of trainings; Purchases supplies for office through UGAMart; Renews maintenance agreements for equipment when needed; Receives and sends mail and packages; Coordinates with Central Research Store deliveries; Prepared work orders through Facilities Management for offices, labs, classrooms, etc.; Maintains departmental Inventory; Makes copies when needed; Maintains AED
- Uses platform such as Personnel Database, eLC, Facilities Management, Departmental Listserv, Outlook, VMare, UGAMart, LifeReady, OneSource.
- Serve as the liaison between the department and CAES OIT
- Assists with 4-H activity support
- Maintains UGA Foundation Agreements
- Maintains CAES personnel database for Horticulture, works with the webmaster to keep department’s website up-to-date

Undergraduate education:
- Assists Undergraduate Coordinator; maintains student files; assists students with issues may have with class, instructor, etc.; notifies students of advisement, jobs, internships, etc.; clears students for advisement/gives access to courses; loads courses in banner; submits late add/cancellations; orders textbook; uploads/approves jobs and internships in horticulture jobs website; reserves/schedules classrooms; maintains google calendar for UGArden/South Milledge classroom; Provides classroom support (rooms 1102 and 1205; South Milledge), Assists with awarding scholarships to undergraduate student; Updates information in Admin Pages, Athena, Argos, Scholarship Universe, Qualtrics, Horticulture Jobs, Follett
