About the Position:

The Digital Collections Licensing Librarian reports to the Associate University Librarian for Collection Development, Humanities and Social Sciences and also works closely with the Associate University Librarian for Sciences and Engineering.

The primary responsibility of the Digital Collections Librarian is to review and negotiate e-resource licenses and related documents on behalf of SUL with publishers, resource aggregators, data sources and other service providers. The Librarian works to ensure that the terms of these agreements meet SUL's and Stanford's policies and requirements, that their terms of use are consistent with the needs of Stanford faculty, students, and staff, and that the cost meets SUL's funding capabilities and is the best available negotiated price. The Digital Collections Licensing Librarian recommends to the Associate University Librarians [AULs] for Collections, the Deputy University Librarian and/or the University Librarian whether or not a proposed license is acceptable and whether there are any issues to consider. Final approval and signature authority for all SUL licenses rests with the AULs, Deputy University Librarian, and/or the University Librarian, not the Digital Collections Licensing Librarian.

The Digital Collections Licensing Librarian, in close collaboration with the AULs and the Head of Acquisitions, manages the Libraries' relationships with publishers and vendors of digital resources including providers of datasets. The Digital Collections Licensing Librarian represents the Libraries with associations (such as NERL) which negotiate terms for big deals and other multi-party agreements. The Digital Collections Licensing Librarian works closely with subject specialists in all disciplines in the Humanities, Social Sciences, Sciences, and Engineering. This collaboration includes the licensing and pricing matters listed above, as well as assistance with relationships with publisher and vendor representatives, evaluation of e-resources, data sets, and other related matters. The Digital Collections Licensing Librarian works closely with SUL's Acquisitions staff, most particularly the Electronic Resources Unit on questions of ordering, order follow-up, utilization of the licensing database (CORAL), usage statistics, accessibility of all new digital resources and other related matters.

Another key responsibility is responding to inquiries from publishers and service providers regarding alleged violations of licensing terms of use. The Electronic Resources Unit in the Acquisitions Department is the usual first point of contact and response, and Stanford campus-wide information security are key in the process. The Digital Collections Licensing Librarian's role focuses on making sure that there is appropriate response to publisher inquiries and that the nature and importance of complying with terms of use are appropriately explained to identified violators.

The Digital Collections Licensing Librarian manages the INFOACC fund, which is one of the major funds of SUL's Library Information Budget; the INFOACC fund as of Fiscal Year 2022 is approximately $1.29 million per year. This fund is used to fund (in whole or in part) various interdisciplinary e-resources and it is also frequently used to help form funding coalitions with various subject or endowed funds to make major e-resource subscriptions and purchases feasible. The Digital Collections Licensing Librarian also collaborates with the AULs for Collections in decisions for purchases made from the two EBOOKS funds (one for Social Sciences and Humanities, the other for Sciences and Engineering).

The Digital Collections Licensing Librarian serves, as needed and as appropriate, on SUL committees or other groups addressing Stanford's e-resource needs, planning, and evaluation. The Digital Collections Licensing Librarian serves as the liaison for e-resource matters to the relevant counterparts in Stanford's Coordinate Libraries (Crown Law, Lane Medical, and Graduate School of Business).

MINIMUM REQUIREMENTS:

Education and Experience Required:

  • An MLIS or advanced degree in a related field.
  • At least five years of transactional experience with academic publishers, resource aggregators, and other service providers.


Knowledge, Skills, and Abilities:

  • Substantial knowledge of and experience with digital and online resources.
  • Substantial knowledge of the academic publishing eco-system.
  • Substantial knowledge of the terms governing digital resource licenses.
  • Substantial knowledge of license terms governing text-mining and other non-consumptive uses of digital resources.
  • Demonstrated initiative in fostering new ideas and implementing change.
  • Ability to work independently and collaboratively.
  • Excellent organizational skills, proven problem solving ability, and flexibility;
  • Excellent oral, written, and interpersonal communication skills.


Physical Requirements*:

  • Constantly perform desk-based computer tasks.
  • Frequently sitting, grasp lightly/fine manipulation.
  • Occasionally stand/walk, lift/carry/push/pull objects that weigh 11-20 pounds.
  • Rarely writing by hand, use a telephone.
