Department DescriptionThe Advancement operation provides the management and coordination of the back office functions to support the campus-based fundraising field staff. These include research, marketing and communications, gift processing, data base management, estate gift planning, and other services. These central services produce economies of scale by eliminating the need for these back office functions to be duplicated on each of the four campuses. They also place the institution in an optimal position to attract substantial support from the philanthropic sector.Position DescriptionThe Central Office of Advancement (Central Advancement) at the University of Colorado System (CU) works closely to support the educational, professional training, public service, research, and healthcare missions of the four CU campuses (Anschutz Medical Campus, Boulder, Colorado Springs, and Denver). Central Advancement works with each campus Advancement office, as well as colleagues employed by the University of Colorado Foundation, to build industry-specific expertise, provide exceptional service, and identify multi-campus resource efficiencies.Within Central Advancement, Central Annual Giving champions data-driven decision making, providing each campus with the tools and information needed to understand and address their unique Annual Giving challenges and priorities.The Program Coordinator, Annual Giving works closely with a team of Annual Giving professionals located in Central Advancement and embedded within campus Advancement teams to secure new, recurring, and upgraded gifts up to the $25,000 level. They support the achievement of key performance indicators by coordinating across CU through traditional and innovative outreach channels.This position reports to the Director of Annual Giving and is Exempt from the State of Colorado Classified Staff system.Duties and ResponsibilitiesDuties and responsibilities of the position include, but are not limited to: Cross-Campus Collaboration and Customer Service
- Provides and supports tools that enable partners across CU to share and coordinate Annual Giving activities, such as plans, calendars, project briefings, trainings, meetings, etc.
- Supports the implementation of the agreed-upon baseline of Annual Giving activities that are shared across CU [described within a system-wide Memorandum of Understanding (MOU)]
- Supports the coordination of outreach across annual giving programs, such as data, direct mail and digital appeals, phone program, and crowdfunding
- Supports the pursuit of each campus’ Annual Giving key performance indicators, as appropriate
- Supports the creation and implementation of campus-specific annual operating plans, as appropriate
- Establishes close partnerships and collaborative processes with partners across CU’s four campuses to create an environment of collaboration and customer service
- Actively responds to requests, quickly and effectively engaging all relevant stakeholders
- Supports the development and distribution of regular reports and presentations to enable the annual giving team and system-wide Advancement leadership to review, monitor, and assess the effectiveness of various annual giving programs
- Provides administrative support functions for Annual Giving efforts, including:
- Answering and directing phone calls
- Preparing routine and non-routine correspondence
- Establishing and maintaining paper and electronic files
- Document management
- Executive administrative support for the Director of Annual Giving
- Manages the Central Annual Giving inbox/email account
- Receives and responds to donor questions and inquiries via email, phone, and mail
- Provides general support for the execution of the team’s programs and efforts, including:
- Scheduling meetings,
- Managing travel
- Filing expense reports
- Coordinating and maintaining program materials and supplies
- Utilizes data to create requested reports, spreadsheets, and correspondence on a routine basis
- Provides project management support and copy editing for print pieces and e-communications
- Develops relationships with colleagues within Central Advancement and across the CU system to assist with scheduling, to fulfill specific donor requests, or to support annual giving projects
- Supports the Agile work management system, acting as the team’s Scrum Master and facilitating regular meetings.
- Supports comprehensive Annual Giving data-analysis efforts, partnering with both Blackbaud’s donorCentrics product and with CU Central Advancement data analytics teams
- Supports the Annual Giving team in providing on-time and accurate delivery of data files to internal and external partners
- Supports data-specific Annual Giving efforts that benefit CU, such as appeal code policies and procedures, recurring gift functionality, etc.

Qualifications
Minimum Requirements
- Bachelor’s degree from an accredited institution of higher education or equivalent experience (education requirement may be substituted by professional experience on a year for year basis).
- One (1) year of experience in a professional office environment
- Ability to work occasional nights and weekends, as needed.
- Two (2) years’ experience utilizing data to create strategies, goals, and outcomes and/or experience fundraising in a higher education, nonprofit or medical setting. Experience leading a program or project from concept and strategy to execution and analysis
- Experience securing buy-in and support from stakeholders
- Experience with database or customer relationship management systems, such as Advance, SalesForce, or Blackbaud
