The Admissions and Data Specialist enhances the Mental Health Counseling and Behavioral Medicine Program's (MHCBM’s) ability to efficiently recruit and enroll students with a high level of customer service and make informed decisions affecting admissions based upon analysis of admissions data. Reporting to the Senior Program Manager, the Admissions Specialist is experienced with Admissions systems and tools and pursues opportunities to improve operations that facilitate student enrollment.

The Admissions Specialist is also a key collaborator with the MHCBM faculty and GMS staff focused on student services and program support. This role will also collaborate with other Boston University Schools and Colleges that work with us on delivering exceptional programming.

Essential Job Functions:

  • Support the processing of student inquiries, applications, and registration in WebAdMIT and BU student information systems. Identify opportunities to increase efficiency and accuracy of the process and implement in collaboration with the Senior Program Manager and faculty.
  • Administer admissions information systems including databases, bulk email tools, application tools, and document management tools. Recommend and implement process improvements.
  • Support the processing of student inquiries and applications in collaboration with the Senior Program Manager and faculty.
  • Align Admissions work with MHCBM recruitment initiatives overseen by the Senior Program Manager and Director.
  • Analyze inquiry, application, and enrollment trends and report findings to decision-makers including the Director, Senior Program Manager, faculty, and stakeholders for the purpose of maintaining licensure accreditation, projecting, and increasing enrollment and improving the service quality.
  • Collaborate with other teams within GMS to provide insights into trends and quantitative analyses.
  • Support the Senior Program Manager for key Admissions tasks, support faculty.
  • Training and supervision of numerous work study student support staff.
  • Other various projects and tasks, as needed.

Required Skills
  • Bachelors degree and 2-4 years of relevant experience required (including previous experience in student admissions).
  • Superb organizational, judgment, and prioritization skills, including the ability to juggle multiple tasks and meet all deadlines.
  • Ability to produce, present, and analyze statistical reports.
  • Strong customer service orientation and related skills.
  • Excellent communication skills including verbal and written communication.
  • Highly developed cross-cultural communication skills and self-awareness and the ability to work effectively with people of diverse backgrounds, including those who speak English as a second language.
  • A commitment to anti-racism and continued training surrounding diversity, equity, and inclusion.
  • Exceptional data management, Google Analytics, Qualtrics, and experience with MS Word, Excel, PowerPoint, and related software. Ability to learn new software quickly.
  • Confidence handling special enrollment projects and completion of various faculty projects as needed.
  • Support in maintenance of detailed documentation of confidential records for licensure and analyzing data to support our compliance.
  • Ability to make meaning out of data and note trends and make recommendations (noting KPIs etc.).

  • Professional experience in fast-paced, collaborative higher education environment.
  • Self-starter and highly-motivated, collaborative team player with ability to work independently
  • Background in data analytics, business, marketing.
