Description
This position is responsible for providing administrative academic and research support in the Dean's office in coordination with all the departments in the College. Reports to the COB Administrative Coordinator I.

Responsibilities:
  • Provide administrative support to COB associate dean(s) and department chairs
  • Provide administrative support for assessment, accreditation and self-study reports on behalf of Curriculum Management Committee and the Dean's Office
  • Provide administrative support for course scheduling, principally for undergraduate programs, including the on-campus BBA and online BBA
  • Assist in updating course and student information in Banner, assign classrooms in ASTRA, registration and overrides, collection of syllabi, accessing Digital Measures and/or Interfolio information, reviewing department reports, adding information from ARGOS, if requested.
  • Prepare and process all travel-related paperwork for Associate Dean(s), Department Chairs, faculty, candidates, visitors, and students, both prior and upon return from trip. Reconcile travel expenses for faculty, staff and self on a regular basis, following university timelines and CONCUR requirements.
  • Maintain central filing system for the COB and its departments, including but not limited to student files, faculty and staff personnel files, travel and purchasing files, and other miscellaneous records, mostly or all of which are confidential in nature. Comply with university's guidelines on record retention and ensure that records are necessarily backed-up. Responsible for the circulation of incoming and outgoing paperwork; ensure forms have the required signatures as these are routed to different departments on campus.
  • Process Workday and other necessary personnel documentation or paperwork for COB faculty, adjuncts, staff, graduate assistants, student workers and other personnel paid on special PINS. Supervise and train student workers and ensure that the department has consistent coverage. Complete New Employee Checklist for new hires; comply with the I-9 process for new hires; complete Employee Exit Checklist for separated employees; collect class arrangements forms when faculty is on leave or travel.
  • Assist in organizing seminars, departmental meetings, campus visits, summer camps and other events or functions hosted by the College and departments. Perform coordination activities to include but not limited to logistics, catering, preparation of agenda, taking minutes of meetings.
  • Maintain, dispense, and order supplies for the College and departments and regularly check inventory. Provide support for purchases related to programs, faculty and staff needs, and coordinate all accounting, budget and expense reconciliation activities with the college's Business office as it relates to department and/or the faculty's grant accounts.
  • Assist faculty and students with paperwork for dealing with other entities on campus, such as setting up accounts, credentialing, keys, and swipecard access.
  • Coordinate and centralize adjunct, grader, graduate assistant and study worker appointments. Send email request appointment information.
  • Provide administrative support (inclusive of travel arrangements) to the Associate Dean(s) with regular office work and special projects.
  • Responsible for circulation of incoming and outgoing academic paperwork. Ensure all proper signatures are on the forms before forwarding to proper University Departments. Scan relevant documents, save to I-drive, and enter in the routing log.
  • Serve as backup to the Administrative Coordinator I if they are out.
  • Assist Associate Dean(s) in the collection and distribution of documents for COB and other units on campus (e.g., syllabi, faculty credentialing, requests for graduate faculty status, missing grades, etc.).
  • Create new faculty personnel file. Maintain personnel and office files record retention, oversee that certain department records are scanned/backed up and old records are properly disposed of. Prepare list of Promotion and Tenure candidates for submission and review by the Administrative Coordinator.
  • Order office supplies for Dean's office. Maintain, update, monitor the leave planner and apprise the Dean's office of any possible work coverage or working arrangement issues. Book meeting rooms as requested.
  • Assist in the hiring, training, supervision, and evaluation student workers. Track the activities of the students along with the Administrative Coordinator I. Monitor students ensuring that projects and other duties are done correctly and in a timely manner.
  • Reconcile Purchasing Card (PCard) and CBT cards for the Associate Dean(s) and self on a monthly basis.
  • Perform other duties as assigned


Qualifications:
  • High School Diploma or GED.
  • Five (5) years administrative related experience.
  • Intermediate skills with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), and the internet.
  • Ability to multi-task in a fast paced and diverse environment.
  • Detail-oriented with a high degree of accuracy maintaining records and have excellent organizational skills.
  • Strong written and verbal communication skills to be able to communicate courteously and effectively with students, faculty, staff, and public.


Preferred Qualifications:
  • Associate's degree.
  • Previous University experience in a Academic department/college.
  • Experience/Knowledge of BANNER, Canopy, FAMIS, Argos, CONCUR, Laserfishe.


Salary:
  • $17.00- $19.69/Hourly
