Position Information

This is a full-time, permanent (probationary) position.

This is an 'On-Campus Only' Recruitment. Qualified applicants must be current employees of CSUDH.

Special Working Conditions: This position works various hours depending on the needs of the students, staff and faculty. There were will occasional evenings and weekend meetings.

Conditions of Employment

The salary range for this classification is: minimum $3,352 - maximum $5,639 monthly.

Major Duties

Under the general direction of the Title IX Officer/DHR Administrator, the Administrative and Compliance Coordinator supports CSUDH's response to student, employee, and third party Title IX/DHR complaints and compliance with prevention programs under CSU EO 1095, 1096, and 1097. Duties include responding to highly sensitive inquiries via phone and email, documenting complaints, taking notes during meetings, providing correspondence, reviewing documents and reports, and compliance with mandatory online prevention programs using Maxient, CSU Learn, and Not Anymore. The Administrative and Compliance Coordinator will also assist with the administrative needs of the office by arranging trainings and events, responding to walk-ins, emails, and phone inquiries, and assisting with purchasing and the office budget.

Qualifications

Required Education: High school diploma or equivalent.

Required Experience: Four (4) years of related office work experience.

Required Knowledge, Skills, and Abilities:
Knowledge of correct English grammar, spelling, and punctuation; office procedures and practices; methods of records management; customer services oriented techniques; online data management systems; and the Microsoft office suite.

Skill in communicating effectively orally and in writing; planning, organizing, coordinating, and performing work in a fast-paced environment; researching and analyzing; and working independently on assignments.

Ability to type and take notes quickly during meetings; respond to sensitive inquires and request using excellent interpersonal skills; understand complex processes and policies; learn online technology systems/software quickly (including Maxient, Sumtotal/CSU Learn, and Not Anymore); handle sensitive documents; draft and compose correspondence; prepare, process, and compile data for reports; and troubleshoot office administrative problems.

Responsibilities

40% - Provides administrative support to the Title IX Officer/DHR Administrator and Investigators for EO 1096/1097 complaints of discrimination, harassment, and retaliation, including sexual misconduct, dating/domestic violence, and stalking by students, employees and third parties.

- Gathers sensitive and confidential materials/documents related to investigations, including student and employee records;

- Attends and takes detailed notes at meetings upon request;

- Prepares and reviews correspondence with complainants, respondents, and witnesses involved in complaints and investigations; - Assists in the preparation and review of reports;

- Assists with maintaining online database (including Maxient or other online programs) of complaint and investigation records, including detailed notes of meetings, emails, phone calls, interviews, reports, and other documents.

30% - Coordinates compliance with online student and employee training requirements under EO 1095.

- Provides excellent customer and support to students and employees requesting assistance with online programs, including CSU Learn, Not Anymore, and other online programs;

- Uses tracking and reporting systems within online programs to provide ongoing compliance reports to the Office;

- Attends CSU systemwide and other meetings about compliance and training programs; and

- Engages in ongoing outreach to remind programs, students, and employees about online compliance trainings and deadlines.

25% - Coordinates and organizes trainings and events with the Title IX Officer/DHR Administrator, investigators, and other key staff, faculty and administrators across campus;

- Provides administrative support to the Coordinated Community Response Committee and other committees that the Title IX Officer/DHR Administrator serves on;

- Prepares correspondence with outside requesters for trainings and meetings;

- Coordinates the Title IX Officer/DHR Administrator and Office calendars by scheduling meetings, trainings and interviews; and

- Assists with purchasing, tracking of all paperwork and coordinating Office budget.

5% - Performs other duties as assigned by the supervisor to meet organizational priorities as they evolve.
