Assistant Director- Bulldog Club Events

Job Description

The Assistant Director of the Bulldog Club will oversee a variety of responsibilities related to directing Bulldog Club events, managing hospitality opportunities, fulfilling member benefits, helping with donor relations and assisting in fundraising strategies.

Events

  • Assist in planning, coordination, registration, execution and financial reconciling of the following events:
  • Tip-Off Dinner
  • Butler Golf Classic
  • Hall of Fame Dinner & Induction Ceremony
  • Athletic Director’s Dinner
  • Hinkle Team Trips
  • Corporate Golf Challenge

Hospitality

  • Plan, organize and manage all hospitality opportunities throughout the year
  • Men’s Basketball, Women’s Basketball, Football (all games)
  • Men’s Soccer, Women’s Soccer, Volleyball (select games)
  • Responsible for finding student-workers, volunteers, and/or staff to fill hospitality positions
  • Assist in setting up and tearing down hospitality locations before and after games
  • Main point of contact with Aramark & vendors
  • Ensure that each hospitality area is prepared for guests
  • Donor Relations

    • Stewardship: Provide superior customer service through various forms of communication
    • Benefit Fulfillment: coordinate the fulfillment of member benefits, such as window decals, MVP level gift, Dinner with the Athletic Director, Hinkle’s Team trip, and hospitality
    • Priority Points & Tickets: full understanding of the priority points system and Archtics ticketing system in order to assist in providing priority point and donation suggestions for seat locations throughout the arena. Ability to assist in fulfilling ticket needs on a per game basis
    • Assist in planning, coordination and execution of annual Select-A-Seat event
    • Full understanding of the university’s alumni, donor, prospective donor database with the ability look-up data on specific donors, run lists of gifts and data, as well as input contact reports

    Fundraising Operations

    • Liaison for all team/sport fundraising
    • Assist teams in fundraising events, such as the Tennis Pro-Am and First Pitch Dinner
    • Help teams with communication to former student-athletes and donors
    • Send monthly giving/donor updates to each coach/assistant/administrative assistant
    • Coordinate fundraising pieces such as letters and emails
