Responsibilities:

This position is responsible to the Associate Dean of Technical Studies for coordinating various technical and administrative functions of the division. Working with the Dean of Health, Workforce & Technical Studies, Associate Dean of Technical Studies, Director of Workforce Education, programs, and faculty, this position is responsible for multiple tasks involving numerous functions and personnel simultaneously, substantial amounts of customer service, and cultivating an environment of hope that creates opportunities. This position uses independent judgment within established guidelines and may supervise student assistant(s). Duties and responsibilities shall include, but not be limited to, the following:
· Responsible for customer service; serves as the student-liaison for the nursing and technical studies programs (Industrial and Process Technology, Instrumentation, Maritime, and Welding). · Coordinates and disseminates technical studies program information including maintaining program webpages and informational documents. · Maintains confidential filing system, correspondence, reports, meeting minutes, degree plans, rosters, affidavits, course syllabi, certification/board results, and additional information for the College, Texas Higher Education Coordinating Board, and accreditation agencies. · Support Program Directors with planning and hosting advisory board meetings, course schedule creation, and other administrative functions as needed. · Maintains credentialing files of current faculty. · Serve as a liaison in soliciting bids with vendors, contractors, and professionals who provide capital equipment and supplies to Workforce & Technical Studies programs. · Responsible for creating requisition and inventory of supplies; maintaining a ledger of expenditures for the Technical Studies programs. Includes data entry on the Financial Records System (FRS) and reporting account status to supervisor(s). · Responsible for textbook requests to bookstore vendor as related to student purchases and desk copy requests to publishers for nursing and health professions program directors and faculty. Also receives, distributes, and returns preview copies of books, videos, software, equipment, etc. · Receives, processes, and supports nursing and health professions faculties’ “Request to Travel” and “Travel Voucher” forms, coordinating with the faculty and business office protocols.· Generates, assembles, and circulates for signature, all paperwork associated with hiring of personnel: o Works with the associate dean/program director to complete paperwork for hiring full-time faculty when a vacancy exists. o Ensures paperwork for hiring part-time faculty is prepared for submission to Human Resources. · Maintains documentation of vacation/sick leave forms for technical studies program directors and faculty: o F3.6 & F3.6A – Request for Overtime and Leave o Maintains copies of Sick leave/Comp time reports· Documents payroll for student worker(s) and assists with staff payroll processes. Including, o Completes hiring paperwork. o Prepares time card. · Obtains and distributes mail.· Assists the Dean of Health, Workforce, and Technical Studies. · Perform other related duties as assigned.

Qualifications:

High school diploma or equivalent required. Associates degree preferred.

One year of related work experience is required, including standard office practices and usage of general office equipment and software. Experience in office practices and administration procedures including some supervisory responsibility. Experience with Ellucian/Banner is preferable.
Good written and oral communication skills. Proficiency in computer skills with software applications, Microsoft Office Professional, Banner, and other database systems.Task-oriented self-starter with the ability to perform with a high degree of accuracy. Strong skills in record keeping and highly detailed oriented. Ability to communicate and interact effectively with a wide variety of College personnel and the public. Efficient planning and problem solving/investigative skills as required to research inquiries. Excellent organizational, communication, customer service, and interpersonal skills with the ability to respond to common inquiries or complaints from employees, students or the public.
