Job Summary

Provides administrative, technical, and field support for the Life Safety and Security Shop. Major duties include coordination of internal and contracted fire alarm/suppression/life safety inspections, coordination of contracted fire alarm, life safety and security service work, coordination of procurement and inventory. Also provides general administrative support to management personnel. Receives direct supervision from the Life Safety and Security Manager. Receives indirect supervision from Building Maintenance Manager. May receive technical advice and direction shop personnel.

Essential Functions

  • Coordinates all fire alarm inspections performed by contractors and FASS personnel. Coordination efforts include scheduling inspections per estimated hours and building operational constraints, submission of appropriate notification paperwork, communication with customers, service technicians, and vendors, collection of inspection paperwork, and deployment of student escort staff.
  • Organizes all life safety inspection reports and maintains organizational systems that allow for easy access for Physical Plant and EH&S staff.
  • Serves as the primary point of coordination contact for life safety contractors performing service work on campus. Works with management personnel, service contractors, EH&S staff and affected customers to establish schedules for work related to service calls, repairs, and planned projects.
  • Serve as an escort for service contractors performing work on campus when required. Participates in hiring, training, and supervision student staff who provide escort assistance for contractors during the summer months.
  • Participates in the procurement process for the department, including material orders, inventory of truck stock, and tracking of shipments. Works with shop personnel, Central Stores, Receiving, and outside vendors to ensure efficient procurement and oversight of materials that support the Life Safety and Shop.
  • Participates in supporting the key window operations, including producing, stamping, and recording of transaction data for keys in UMass electronic database as well as fielding customer inquiries.
  • Participates in coordinating service work for fleet vehicles used by the Life Safety and Security Shop.
  • Provides administrative assistance to management personnel as needed.
  • At times, may provide field and shop assistance to trade personnel, including core preparation, cutting keys, and providing general site assistance to fire alarm technicians.
  • Participates in notifying customers of key status, and issues keys to customers, maintenance staff, and approved contractors.
  • Participates in the administration of the C-Cure software program as required, including provisioning of clearances, modification of building schedules, and other related tasks.
  • Participates in the supervision of student staff, including training and oversight of work.
  • Confers with Life Safety and Security Manager and Maintenance Manager concerning assigned activities, exchange of information and resolution of problems.
  • Makes recommendations to Supervisors and Managers concerning improvement of equipment or software.
  • Consults with supervisory and managerial staff and customers to ensure that suggested or recommended changes to administrative and/or organizational processes that support the shop.
  • Operates motor vehicle to travel to work sites as needed.
  • Performs other duties related to the position as assigned.
  • Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

    • High School Diploma or equivalent.
    • 3 years of related work experience.
    • Current valid Massachusetts Class D Driver’s license.
    • Skill and knowledge in database programs.
    • Skill, knowledge, and demonstrated ability to utilize Excel, Outlook, and other Microsoft Office computer applications to support and organize work.
    • Demonstrated ability to organize and understand complicated work schedules.
    • Proficiency in reading and using construction drawings and documents.
    • Experience working in an operation involving facilities.
    • Unrestricted ability to visit job sites as required.
    • Demonstrated ability to solve problems using critical thinking skills and deductive reasoning.
    • Skill and knowledge in oral, written, and interpersonal communication with a diverse customer population.
    • Understanding of a service-oriented work atmosphere and the ability to apply this concept to daily work practices.
    • Ability to read and interpret documents such as building plans, hardware specifications, operating manuals, and software instructions.
    • Ability to follow complex oral and written instructions.
    • Excellent planning and organizational skills, including the ability to organize multiple priorities.
    • Excellent interpersonal communication skills.
    • Ability to monitor work of contractor staff.
    • Ability to write clearly and accurately.
    • Knowledge of occupational hazards, precautions, and safety practices related to job function.
    • Ability to perform tasks that require manual dexterity.
    • Ability to drive in performing work duties at campus locations.

    QUALIFICATIONS ACQUIRED ON JOB (List knowledge, skills, abilities)

  • Skill and knowledge of Tririga/CMMS software.
  • Knowledge of laws, rules, and regulations governing assigned shop activities.
  • Skills and knowledge in Simple K/Key database software.
  • Knowledge of fire alarm systems, security systems, access control, and key and locking systems.
  • Skill and knowledge of key production functions, including duplicating keys and setting cores.
  • Factory training in Softwarehouse C-Cure Access Control System software and other access control software.
  • Knowledge of university procurement rules, policies, and procedures.
  • This position includes the obligation to work overtime, and to return to scheduled shifts when directed. Appointee must update contact information with the Facilities Solutions Center.
