Position: Office Assistant (part-time) Location: Wheaton, IL
Job Id: 754 # of Openings: 1 Office Assistant The Office Assistant assists the Intake Coordinator with intake, output, and management of information as the starting point for all client care at Student Health Services. This role is responsible to the Director of Student Health Services and managed by the Billing and Administrative Coordinator as part of the administrative team. The hours for this position are 25 hrs/week, 10 months/yr. Duties and Responsibilities
  • Functions as a receptionist: answers telephone, schedules appointments for providers, walk-in clinic, laboratory, allergy immune therapy, and international travel clinic.
  • Creates scheduling needs through the EPIC electronic medical records.
  • Completes administrative tasks (photocopying, scanning charts, refiling charts, etc.).
  • Maintains organized and accurate current and archived paper and electronic patient charts.
  • Retrieves faxes, find the correlating patient charts and place for follow up needs.
  • Assists in keeping records of loaned equipment.
  • Assists with cleaning and stocking exam and observations rooms.
  • Manages student worker weekly tasks.
  • Completes inventory and ordering from various vendors for student supplies and OTC medications as needed.
  • Assists with staffing for intercollegiate and club sports.
  • Substitutes for front desk duties as needed.

  • BA preferred
  • Strong experience with Microsoft Office Suite
  • Experience with in-patient and out-patient health care
  • Excellent interpersonal and communication skills
  • Team player
  • Adept typing and technology skills
  • Ability to multi task efficiently and effectively
  • Able to complete detailed tasks with low error rates
Physical Requirements The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle or feel, and to stand, walk, reach, bend or lift up to 10 pounds.
