POSITION SUMMARY
Program Coordinator – On Campus Events

Overview:
The Program Coordinator (level 10) reports to the Program Director of Diversity Initiatives at the Fuqua School of Business. This position will plan and execute professional and effective campus recruiting and yield events and will organize and manage on-site and virtual execution of events to ensure that activities run smoothly and follow appropriate protocol. This position will also be responsible for the logistical planning and execution, under the direction of the staff lead, for the following activities: Campus Visits, The Duke MBA Workshop for Minority Applicants, The Duke MBA Women’s Leadership Weekend, The Duke MBA Pride Weekend, The Duke MBA Veteran’s Symposium, Blue Devil Weekends, Blue Devil Experience, Blue Devil Celebration, Daytime Open Houses/Super Saturdays, MMS, MQM, and EMBA Open House events, and other special campus events and meetings hosted by Admissions, such as MLT Kick-off Event and Jumpstart Path2MBA. This individual will develop and maintain strong relationships with staff leads for each event, vendors, staff across all departments, and current student leaders.

Responsibilities include, but are not limited to:
• Coordinate services for events, such as hotel accommodations and transportation for participants, reserving facilities, parking, catering, signage, decorations, audio visual support, printing, and other special requirements
• Establish and maintain strong vendor relationships to maximize services and savings for our department
• Responsible for creating event questionnaires, building the event application, updating decision emails, tracking RSVPs and corresponding with attendees prior to their arrival
• Craft post event surveys and feedback reports for continuous improvement
• Participate in planning meetings with staff event leads, student co-chairs and planning committees
• Work collaboratively with team leads to manage the events and address potential problems and solutions as they arise
• Document and distribute meeting agendas and notes for each planning meeting
• Assist with alumni volunteer recruitment, outreach, and database management for campus events and yield initiatives
• Create, design, and update Spark pages and microsites for all events
• Assist with developing event budgets and tracking expenses
• Serve as back-up to the Program Coordinator for Off Campus Events
• Additional duties as needed to support department goals and objectives.


Minimum Qualifications

Education
Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

Experience
Work requires one year of experience in program administration involving academic, instructional, or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.

Department Preferred Skills & Qualifications:
• Undergraduate degree preferred
• Must be organized and have strong attention to detail
• Possess a passion for event planning and demonstrate strong project management skills
• Demonstrated ability to manage multiple responsibilities simultaneously in a fast-paced environment
• Prior event planning experience highly desirable
• Must be very comfortable in a highly computerized environment, including database management, Microsoft applications and e-mail
• Exhibit strong communication, interpersonal and team skills
• Ability to work evenings and weekends to provide on-site support for events as needed
• Have an appreciation for all aspects of diversity
• Ability to remain calm under pressure during a crisis and use problem solving skills to find a workable solution
• Be a self-starter and work collaboratively with the staff lead to move ideas forward
• Be confident, flexible, outgoing, focused, positive, and creative

Duke University was created in 1924 by James Buchanan Duke as a memorial to his father, Washington Duke. The Dukes, a Durham family that built a worldwide financial empire in the manufacture of tobacco products and developed electricity production in the Carolinas, long had been interested in Trinity College. Trinity traced its roots to 1838 in nearby Randolph County when local Methodist and Quaker communities opened Union Institute. The school, then named Trinity College, moved to Durham in 1892, where Benjamin Newton Duke served as a primary benefactor and link with the Duke family until his death in 1929. In December 1924, the provisions of indenture by Benjamin’s brother, James B. Duke, created the family philanthropic foundation, The Duke Endowment, which provided for the expansion of Trinity College into Duke University.Duke Campus

As a result of the Duke gift, Trinity underwent both physical and academic expansion. The original Durham campus became known as East Campus when it was rebuilt in stately Georgian architecture. West Campus, Gothic in style and dominated by the soaring 210-foot tower of Duke Chapel, opened in 1930. East Campus served as home of the Woman's College of Duke University until 1972, when the men's and women's undergraduate colleges merged. Both men and women undergraduates now enroll in either the Trinity College of Arts & Sciences or the Pratt School of Engineering. In 1995, East Campus became the home for all first-year students.

Duke maintains a historic affiliation with the United Methodist Church.
