Job Description

Works under general supervision and provides highly advanced administrative support. This position typically works Monday through Friday; between the hours of 8 a.m. to 5 p.m. Hours may occur beyond normal office hours to include evenings, weekends, and peak times. Work will include some student normal office hours to include evenings, weekends, and peak times. Work will include some student (for up to four years).

This is a grant funded position. Grant funded positions are time-limited and are contingent upon sufficient grant funding.

Responsibilities:

  • Coordinate daily office support activities and administrative interactions.

  • Assist in the coordination of daily workflow and the resolution of complex, highly sensitive and confidential matters.

  • Provide organizational planning and problem-solving skills.

  • Research and analyze administrative requirements for specific programs or projects.

  • Provide technical information regarding administrative procedures, services, or programs.

  • Develop procedures for complex or specialized functions.

  • Respond to inquiries and interpret rules, regulations, policies and procedures. May monitor compliance with policies and procedures.

  • Maintain a variety of fiscal, administrative, and academic records. Verify, process, and review forms, reports, tables, and other documents. Perform special analyses and project summaries.

  • Coordinate travel arrangements and prepare itineraries. Coordinate meetings, seminars, and other special events.

  • Coordinate the maintenance of files, records, office supplies, or equipment. Make recommendations for process improvements, administrative changes, or new initiatives.

  • Work with students weekly on self-determination skills.

  • Support daily operations and needs of TU CASA students' academic success in the project, including timely implementation of all required activities.

  • Collaborate with TU CASA staff and coaches to ensure students’ Individual Learning Plan (ILP) is enacted effectively and with fidelity.

  • Ensure that expectations are addressed and agreed-upon for vocational internships and academic placements, and support syllabus and assignment modifications.

  • Monitor the Course of Study to ensure it is being implemented to support the ILP.

  • Identify areas of need and provide guidance and/or professional development to faculty based on TU CASA students’ needs for academic success.

  • Supervise student workers specific to data collection, records-keeping, and reporting hours.

  • Work with PI, Co-PIs, and Program Director to support data collection efforts.

  • Other duties as assigned.

Required Education and Experience:

  • Bachelor's degree

  • Two years of related experience

Preferred Education and Experience:

  • Bilingual (English/Spanish) reading, writing and speaking skills.

  • Three years of related experience.

  • Previous work in maintaining budgets

Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.

  • Ability to multitask and work cooperatively with others.

  • Excellent written, communication, analytical, interpersonal, and organizational skills.

  • Ability to work in a high stress environment.

  • Ability to work with sensitive information and maintain confidentiality.

  • Ability to work independently once given a project.
