Facilities Management Supervisor

Position Summary:

The position directs and oversees the day-to-day operations and work assignments of the facilities trades department while managing the Facilities and Service Management (FSM) work order system to ensure effective communications between FSM trades, vendors, students, faculty, and staff. This position will also provide support in all other tasks as directed, and provide periodic timely reporting to the Director of Facilities Management.

Supervision Received/Supervision Exercised:

This position reports to the Director of Facilities Management. The position directs and oversees the day-to-day operations and work assignments of the facilities trades department. The primary focus for this position will be the responsibility to manage the work order system and coordinate the flow of information to and from the several department shops and the customers that Alma College Facilities and Services Management serves.

Primary Duties:

  • Directs and oversees the day-to-day operations and work assignments of the facilities trades department.
  • Provide supervision to the FSM trades department ands employees.
  • Manage the campus FSM work order system (daily and scheduled preventative maintenance). Insure all requests are properly documented and assigned. Follow-up to ensure timely completion and customer satisfaction. Train campus employees on proper usage of the system when needed.
  • Ensure outstanding communication within the FSM division, with campus faculty and staff, and with outside contractors and vendors.
  • Provide periodic reporting to the Facilities Director as requested.
  • Manage, coordinate, and ensure all outside contractors are properly signed in and are made aware of College policies prior to work on campus.
  • Enhance campus safety by overseeing control over keys, distribution of, and ensure proper return from students, faculty, and staff.
  • Ensure vendor invoices are distributed in a timely manner and are submitted to the Director of Facilities for approval.
  • Manage and approve college motor pool. Communicate with partners to ensure vehicle coordination and communication. Ensure proper preventative maintenance of vehicles is maintained, submit reports to Enterprise on vehicle fleet, and maintain proper records thereof.
  • Notify Facilities Director of issues related to daily operations immediately as well as formulate viable options for remedy.
  • Conduct monthly safety meetings, keep employee files current, coordinate employee time off in accordance to campus needs.
  • Ability to manage multiple tasks simultaneously and performs other job related duties assigned.

Required Qualifications:

  • Minimum of three years of Facilities Management administration, or five years of proven management required.
  • Demonstrated management and organizational skills in Facilities Management field.
  • Excellent communication and proven customer service skills.
  • Demonstrated understanding of basic mechanical, electrical, carpentry, and plumbing.
  • Computer skills, including Word, Excel, Outlook, web-based programs
