Overview

Princeton University is seeking an Assistant Director of Faculty-led Programs who will join the Study Abroad Program (SAP), part of the larger Office of International Programs (OIP). Princeton University is a highly selective private liberal arts university with an undergraduate enrollment of approx. 5,200. The Study Abroad Program offers a wide variety of intellectually challenging, culturally enriching and socially diverse academic programs abroad. At Princeton, approximately 200 students yearly study abroad for a semester or year. The Study Abroad Program also manages approximately ten Exchange Programs with leading universities worldwide. Additionally, the program provides support and assistance to other academic departments/centers on a growing number of short-term international programs designed, managed, and led by Princeton faculty, and also advises students for summer study abroad at other institution.

The Assistant Director, Faculty-led Programs will be joining a team comprised of the Director and another Assistant Director, a Study Abroad Adviser, and a Coordinator. While this position reports to the Director of Study Abroad, the Assistant Director will work closely with the Senior Associate Dean of International Programs.

Responsibilities

The Assistant Director for Faculty-led programs manages the development of all short-term programs falling under the Office of International Program (OIP)’s purview. This may include full-fledged programs or academic courses with embedded trips, running either during fall and spring breaks, Wintersession (a two-week period in January) or in the summer. The Assistant Director for Faculty-led programs manages and administers the logistics of the programs including: marketing and publicity, student recruitment and application process, budget development and monitoring/reconciliation, logistical arrangements for students and faculty, pre-departure orientation/post-return engagement, and faculty support and training. The candidate also provides hands-on on-site support as needed, and assists in the evaluation of the programs and post-return events and community building. Additionally, the Assistant Director assists in advising students interested in non-Princeton summer experiences abroad, and in the management of the Dean’s Fund for summer international experiences. Advising for a limited portfolio of semester study abroad programs is also part of the Assistant Director’s portfolio.

  • Assists the Senior Associate Dean of OIP in working closely with faculty to implement program ideas and facilitate the development of innovative pedagogical models.
  • Provides continual administrative support to faculty directors on operational benchmarks, program cycles, budgets, marketing, logistics, enrollment, student recruitment/selection, etc.
  • Advises students before, during and after the program on all matters related to this type of programs as well as serves as an advisor for non-Princeton summer programs; advises for a small number of academic year programs as well.
  • Tracks student applications using Terra Dotta; ensures applications are complete; coordinates review of academic and student life standing, and disseminates the applications for
    faculty and staff review.
  • Coordinates pre- and post-program orientation/re-entry sessions.
  • Assists with ensuring that all student services meet Princeton University and Study Abroad Program’s standards and requirements related to student care, health, wellbeing, and safety.
  • Working closely with SAP/OIP and the Global Safety and Security unit, provides emergency/crisis response as required and share 24-hour on-call responsibilities during peak travel times.
  • Designs and manages effective marketing and publicity for the Princeton-led short-term programs in conjunction with faculty and with the Communications Manager.
  • Creates written materials, web pages, social media articles, and coordinates outreach on campus to promote these academic opportunities.
  • Develops and evaluates best practices for Princeton-led short-term programs as it relates to policy, procedures, and enrollment practices. Annually reviews each program to ensure compliance with said policies.
  • Provides support on the vetting and management of contracts and agreements with the various overseas partner institutions.
  • Collects, analyzes, and oversees program budgets to ensure consistency and compliance.
  • Designs and implements program-wide evaluations and assessments, including collecting and analyzing quantitative and qualitative reports.
  • Assists with visa acquisition and troubleshooting for students, faculty, and staff traveling on the programs, as needed.
  • Assists with the development of a “knowledge community” and of materials, resources, speakers, and training modules for faculty and staff involved with the programs.
  • Works closely with other administrators/departments/centers offering short-term faculty-led programs to share best practices, training, and resources.
  • Assists the Director with the management and oversight of the Dean’s Fund for summer study abroad, a large endowed fund in support of language programs and other rigorous summer opportunities.
  • Other duties as assigned.


Qualifications

Required Qualifications:

  • Master’s degree required (preferred areas: international relations, international education, higher education, public administration, or a related field).
  • Three to five years of previous relevant work experience in higher education, advising/mentoring undergraduate students and being responsible for complex administrative/academic processes.
  • Significant experience working closely with faculty members, and/or significant direct post-secondary teaching experience; proven knowledge of pedagogical and student development principles.
  • Demonstrated familiarity with international higher education systems and different program models and best practices in international education/study abroad.
  • Excellent customer service and communications skills, both oral and written. Ability to effectively communicate in a variety of situations, including interpersonal and formal large-group settings. Ability to distill and convey information to multiple audiences (students, parents, faculty, staff) and to work in a diverse environment.
  • Outstanding organization skills and superb attention to detail. Ability to work under pressure and to multi-task in a fast-paced environment, especially during peak times of the year. Keen problem-solving skills.
  • Ability to exercise good judgment and discretion in dealing with sensitive matters.
  • Ability/willingness to travel to conduct site visits and represent Princeton University at professional venues and conferences.
  • Ability/willingness to work some evenings and week-ends as needed.
Preferred Qualifications:

  • Ph.D. and significant teaching experience at the post-secondary level.
  • Experience leading academic international travel.
  • Previous direct site visit experience and/or experience living, working, or studying abroad. Knowledge of one or more languages other than English.
  • Familiarity with passport/visa advising and visa application processes for both domestic and international students; experience with US Department of State resources and requirements for travelers.
  • Excellent technology skills: previous extensive experience with data management software (preferably Terra Dotta) and proficiency with People Soft or similar HR software strongly preferred. Proficiency with standard office software (word processing, database, presentation, spreadsheet, desktop publishing). Proficiency with the use of social media for marketing and programming purposes; agility in learning new technologies as needed, and in using social media platforms.
