Administrative Specialist II – English                           

Regular Full-time, Non-Exempt, Salary DOE&Q

Responsibilities:  The English Department seeks an Administrative Specialist II to assist the Associate Head in the oversight and coordination of the department class scheduling process and to coordinate the evaluation and promotion process for more than 45 non-tenure-track faculty.

Duties in this position will include, but not limited to:

  • Consulting with the Associate Head to first determine what classes will be offered each semester, including courses cross-listed with other programs. 
  • Collecting information from the professorial faculty and in consultation with Assoc. Head, assigns courses to the appropriate instructors;
  • Collecting information from lecturers and GTA’s and assigns courses and times for these instructors;
  • Enters all information regarding courses and instructors into Banner;
  • Secures time and rooms assignments for all courses in English;
  • Assigns overrides during registration periods;
  • Counsels advisors from Arts and Sciences to work out student schedules during registration periods;
  • Collaborates with the Director of ESL to determine the needs for ESL instruction each semester;
  • Maintains records and reports regarding enrollments and student credit hours;
  • Runs reports in ARGOS
This position will also support the Associate Head in all duties in support of lecturers including annual evaluations, annual portfolios, and will coordinate the process for submission of dossiers for lecturers in English who apply for promotion to Senior or Distinguished Lecturer.  This position will respond daily to high volume email exchanges with lecturers and faculty.

Other duties will include preparing receipts and checks to be deposited, processing E-Verify hiring paperwork for Graduate Students and serve as the back-up to the Graduate Program and assisting the other English staff in special events and day to day operation of the English department.



Qualifications
Qualifications:

Required Qualifications – High School Diploma or GED; 2 years or more of experience in a position requiring significant written communication or commensurate education and experience.  Proficiency with Microsoft Office, particularly Word and Excel; excellent written and verbal communication skills, ability to work with diverse faculty and staff.  Ability to multi-task, problem solve, work independently and to be detail oriented. 

Preferred Qualifications – An Associate Degree or some college experience, preferably experience in a position in higher education.  Knowledge of Banner.
