Position Title:Office Support Specialist (12691) Occupational Area:04 Department:665620 - Teaching and Learning Job Posting Description:

Illinois Residency Requirement: This position requires current Illinois residency to apply.

The Office Support Specialist will assist in providing clerical and administrative support 38 full time faculty and instructors and four (4) part-time lecturers in the School of Education, Health and Human Behavior’s Teaching and Learning department. Support provided will include:
-Gather and effectively communicate on-campus resources available to assist units in meeting established diversity goals.
-Document prep such as non-tenure track faculty contracts and faculty evaluations.
-Serve as back-up for department budget maintenance, updating department fiscal records and budgetary spreadsheets as needed.
-Assist Chair and Program Directors in developing course schedules and entering in to system; monitor CougarNET and Banner systems concerning enrollment, classroom location and instructor.
-Maintain all department records and files including confidential faculty and call staff personnel files, new employee files and student worker documentation.
-Order textbooks and materials for courses each semester; obtain desk copies or other materials for faculty and staff during assigned time period; and work with Cougar Store and Textbook Services concerning rental and purchases of books for students.
-Maintain department equipment and key inventory, including yearly inventory for computer equipment and updating scholarship plaques.
-Serve as the department liaison with other SIUE departments and outside entities to support SEHHB mission of equity and inclusion.

This position works in conjunction with another Office Manager in the department. The support staff will partner together to develop work-flow practices and procedures to ensure efficiency in workload. Further duties and responsibilities may be assigned based on the needs and goals of the department.

Minimum Acceptable Qualifications:

1. High school graduation or equivalent.
2. One (1) year (12 months) of work experience comparable to the second level of this series.
3. Any one or any combination of the following, totaling two (2) years (24 months) of experience in the categories below:
A. Work experience performing office/clerical activities, including use of computer systems.
B. College or university course work in any curriculum:
-Twelve (12) semester hours = six (6) months.
-Twenty-four (24) semester hours = twelve (12) months.
-Thirty-six (36) semester hours = eighteen (18) months.
-Forty-eight (48) semester hours = twenty-four (24) months.

Preferred Qualifications:

-Interest in, or experience in teacher education.
-Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment.
-Experience in diversity related programs OR equivalent education/experience (preferably two or more years).
-Knowledgeable about DEI best practices, or ability to work closely with marginalized populations and communities.
-Able to communicate effectively and respectfully with diverse faculty, staff, and students.
-Comfortable with identifying and pursuing creative problem solving.
