Job Description Summary:

Reporting jointly to the Director of Employee Relations and Director of Equal Opportunity in a matrix reporting model, the Employee Relations Associate supports the Chapman University Employee Relations Department, which is divided into two business units: Equal Opportunity and Diversity, and Employee Relations.

The Employee Relations Associate assists and provides support for Equal Opportunity and Employee Relations staff on a variety of complex and sensitive employee relations issues. Within parameters, the incumbent advises and counsels client groups to resolve questions, concerns, and complaints and elevates to team members where required. This individual also provides monthly dashboard reporting services to the Vice President & Chief Human Resources Officer on behalf of the department.

The Employee Relations Associate will be collaborative, approachable and embraces Chapman’s mission and culture. Responsibilities:

Employee Relations and Equal Opportunity

  • Provides intake services for the Equal Opportunity and Diversity and Employee Relations units by serving as the first point of contact for employees with questions; provides general information related to disciplinary processes.
  • Manages the involuntary termination process workflow for the Employee Relations functions
  • Provides support to the Director of Employee Relations and the Equal Opportunity Diversity Officer on complaints, investigations and provides support in preparing documents, letters, and other communication materials related to the investigations, performance management, and separations.
  • Supports the disciplinary and separation processes and conducts exit interviews to ensure proper information is captured, recorded, and available for analyses.
  • Maintains documentation and files for investigations, incidents, and programs as required by Title IX.
Reporting Analytics & Data Maintenance
  • Maintains all recordkeeping and reporting on investigations, incidents, and supports the Vice President & Chief Human Resources Officer with dashboard metrics as requested.
  • Collects and analyzes employee relations and EEO data and prepares reports utilizing data and data analytics, as required.
  • Serves as the liaison between Human Resources and Faculty Affairs.
  • Maintains records on mandated and recommended federal, state, and University compliance training programs and provides quarterly reports to academic and administrative leadership.
  • In coordination with the HRIS/People Analytics Department, supports Affirmative Action planning and database administration to maintain up-to-date data and annual reports.

Required Qualifications:

  • Bachelor’s degree or equivalent in education and experience.
  • A minimum of four years’ experience in progressively responsible positions, particularly in dealing with matters of sensitivity and confidentiality.
  • Applicant must have experience with Workers’ Compensation, ADA Interactive process and employee leaves administration
  • Demonstrated interpersonal skills required to effectively interact with the campus community.
  • Possesses strong analytical skills to conduct analysis and develop recommendations, demonstrating organization and problem-solving skills.
  • Strong analytical skills with demonstrated ability to gather relevant information and effectively present data.
  • Demonstrated skills to provide guidance to managers and employees on complex and significant employee relations issues.
  • Ability to organize work and prioritize tasks to meet deadlines.
  • Excellent writing skills to prepare clear, concise and well-written documents.
  • Demonstrated ability to use Microsoft Office Suite applications, particularly Word, PowerPoint, Outlook.
  • Ability to demonstrate tact and diplomacy and maintain

Desired Qualifications:

  • Skilled in maintaining policy and procedural documentation.
  • Thorough knowledge of organizational policies and procedures, knowledge of functional area and understands how work may affect other areas.
  • Demonstrated experience with providing support for workplace investigations.
  • Experience in working with complex organizations with an emphasis on EO, Employee/Labor relations, Workers Comp, FMLA, preferably in a University setting.
  • Demonstrated ability to provide guidance and manage difficult workplace conflicts.
  • High level of sensitivity in dealing with diverse individuals and communities.
  • Project support experience with a proven ability to collaborate and work as a team.
