The Department of Medicine, Division of Allergy and Clinical Immunology has an opening for a full-time University Staff (unclassified) Administrative Assistant I position.

This class describes the fully-operational administrative assistant. Positions in this level provide basic administrative support duties which may be limited to one activity or include a variety of basic support activities. Tasks are performed within established and known systems, processes, and operations. Illustrations of the nature of work include, but are not limited to, any of the following: completing and processing forms; screening documents against set requirements, comparing them with established references, and verifying their accuracy and completeness to determine eligibility for admission or to issue licenses, certificates, permits, diplomas, or other official documents; scheduling business and client appointments, business meetings, hearings, exams, and rooms; making transportation, lodging, and meeting room reservations; taking registrations or orders; screening calls, taking messages, greeting clients, referring people; retrieving, sorting and sequencing, labeling, circulating, and purging files and their contents; composing, formatting, producing, proofing, and copying documents, including correspondence for others’ signature according to detailed instructions; tracking the status of funds, documents, and actions; collecting and depositing fees, issuing receipts and refunds, and balancing figures on monthly reports; searching for, gathering, and verifying information and documents for reports; computing data such as leave balances, work and credit hours, dates, grade point averages, rankings, postage, billing charges, etc., and filling in predetermined object codes and account numbers on forms; sorting, weighing, metering or stamping, picking up, and delivering mail; placing orders with established vendors, verifying accuracy of shipments, issuing, and inventorying items, supplies, subscriptions, etc.

Position Emphasis: 

The Division of Allergy and Clinical Immunology currently seeks an Administrative Assistant I with demonstrated commitment to creating an inclusive learning and working environment. We value the ability to engage effectively with students, faculty and staff of diverse backgrounds. This is a front desk reception position that will monitor front door access and greet visitors as well as provide administrative support to Directors, Office Manager, and staff. Position is responsible for file room duties including scanning projects, purging and archiving. Manages supplies inventory, distributes mail on site and on campus, updates the Division’s contact directory, sends reminder emails, reserves conference rooms and assists with room set up and clean up.

Examples of Work Performed:

  • Monitor access of all entrants to the facility per FDA regulation.
  • Provide assistance to the Directors, Office Manager and all administrative and lab staff, as needed.
  • Keep patient record file room up to date, and orderly which includes filing, file purging, and scanning of documents for archive.
  • Manage office supply inventory.
  • Retrieve and distribute USPS mail and intercampus mail on site and on campus.
  • Maintain the office and lab contact directory including internal contacts and client (hospital and outside lab) contacts.
  • Assist with conference room reservations, presentation set up and food orders.
  • Assist with transport of blood samples to the hospital clinical lab while following biological transport regulations and temperature monitoring and recording protocols.

Salary and Benefits:

The salary range (or hiring range) for this position has been established at $30,684 - $33,924.  

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is eligible for overtime compensation.

Qualifications
Minimum Qualifications:

  • One (1) year of administrative support experience that included working in a front desk/reception role.
Substitution: Appropriate education will substitute for the required experience on a year-for-year basis.

Applicants must meet minimum qualifications at the time of hire.

PLEASE NOTE: Candidates will be responsible for travel expenses related to the interview process and any relocation expenses, if applicable.

Preferred Qualifications:

  • High School Diploma or General Education Diploma (GED).
  • Experience in a University setting preferred.
  • Experience utilizing Microsoft Word and Microsoft Excel.
  • Experience working in a medical institution or higher education setting.
