Responsibilities
  • Provides administrative support to faculty & staff within the Office of Medical Education (OME) for pre-clerkship course-related duties to include: populating and maintaining M1 and M2 student calendars; populating and maintaining pre-clerkship Canvas sites; room scheduling; maintaining timelines and tracking timely submission of materials; sending reminders to maintain timelines; tracking student submissions and required attendance; preparing and distributing rosters and materials for small groups; providing information to IT for scheduling and distribution lists; providing course faculty information to HR; and other duties related to course and curriculum support.
  • Provides support for timely population of the Curriculum Management System: weekly compiles M1 and M2 session objectives, updates CMS session worksheets, and identifies changes from previous academic year entries.
  • Provides support for summative and formative assessments. Duties include proctoring web-based exams, OSCEs and FOSCEs (clinical skills exams); maintaining up-to-date training as an NBME proctor, executing payment requests for SP proctors, and preparing quizzes on Canvas.
  • Handles inquiries by phone, e-mail and direct contact from students, staff, and faculty.
  • Serves as the records manager for OME. Refers to the State of Florida Records Retention Schedules to determine retention requirements. Responsible for shredding of records approved for destruction.
  • Promotes an atmosphere of teamwork in accomplishing the mission and goals of the OME, including delivery of academic support services and meeting key unit deadlines.
Qualifications

High school diploma or equivalency and four years of experience; or a combination of post high school education and experience equal to four years. (Note: Post-high school education may substitute for required experience at the comparable rate.)

  • Experience communicating effectively verbally and in writing.
  • Experience establishing and maintaining effective working relationships.
  • Experience performing accurately in a detail oriented environment.
  • Experience utilizing problem solving skills.
  • Experience with Microsoft Excel and Word, or equivalent software.
  • Experience with web-based programs.
  • Experience maintaining accurate records and retrieving files from active or archive sources.
  • Ability to understand and follow written and oral instructions.
  • Ability to demonstrate effective customer service skills.
  • Ability to meet project deadlines.
Preferred
  • Experience in higher education setting
  • Experience with Canvas or other learning management system.
