Educational and Experience Requirement:

Bachelor’s degree in a related field. Four years relevant administrative assistant experience or experience in a related field. Experience in Higher Education is desirable. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

Must be a current Sam Houston State University employee in order to be considered for this position.

Nature & Purpose of Position:

Performs advanced and complex administrative support duties for the Office of the Dean in the College of Arts & Media.

Primary Responsibilities:

Performs high-level administrative assignments. Conducts research as may be required for preparation and dissemination of the information relating to the assigned duties. Exercises considerable judgment in the interpretation of policy and or the application of procedures, techniques, or practices to assignments. Coordinates, compiles and evaluates in-put data received from a variety of sources relating to the effectiveness of the assigned activity, program, or project. Serves as liaison between other University departments, students, faculty, and staff. Provides information pertaining to organizational procedures and policies to individuals within the institution and or the general public which may involve research, compilation, evaluation and distribution. Receives inquiries and responds to questions and requests of a complex or confidential nature, referring any such requests which are controversial or specialized to the appropriate official. Assists the college with tracking graduate education budgets related to teaching and graduate assistantships. Coordinates, compiles, and reviews graduate hiring requests. Tracks graduate and teaching assistantship assignments to ensure compliance with university and college policy and procedure. Maintains accurate files, prepares and complies reports related to graduate education. Act as the college liaison to department and school graduate coordinators, associate deans, and other staff as it relates to graduate education. Coordinates, compiles, and reviews department faculty workload compliance submissions. Prepares the necessary reports, and works with departments and schools to accurately track faculty workload, including graduate teaching assistants. Assists the Dean and staff with the faculty evaluation system. Coordinates the completion, maintenance, and updates to faculty evaluation communities. Assists the college with gathering assessment data and information from departments. Coordinates, compiles, and reviews department assessment submissions for accuracy. Maintains accurate assessment records, and prepares and compiles reports related to assessment. Serves as a member and or reviews work of university and professional committees. Plans and coordinates data processing programs and procedures. Assumes responsibility for the design and preparation of data-based reports for distribution within the college. Drafts correspondence on administrative policies and procedures. Assists the Dean in coordinating and supervising program activities and staff services. Directs assignments of department staff and determines work priorities and evaluates progress and deadlines. Confers with and apprises the Dean concerning clerical performance standards and other operating problems. Recommends to the Dean internal policies and procedures, clerical functions, and workflow relating to assigned duties to ensure effective and efficient operation. Supervises the filing of materials. Possess comprehensive knowledge of University structure, policies, rules and procedures in the specialized field. Assists Dean and staff in other administrative duties as may be assigned. Performs other related duties as assigned.

Other Specifications:

Requires detailed knowledge of university infrastructure, policies and procedures. Requires thorough knowledge of office systems. Must have the ability to solve operational problems and make suggestions for process improvement.
