Job Description

Works under general supervision and provides administrative support for the Risk Management office to include the exercise of discretion and independent judgment with respect to matters of significance while executing the assigned Risk Management program.

To help preserve the health, safety and well-being of the campus community, while maintaining academic and operational stability during a global health crisis.

This is a grant funded position. Grant funded positions are time-limited and are contingent upon sufficient grant funding.

Roles and Responsibilities:

  • Participates in the planning and execution of administrative operations. May serve as the office manager. Monitors office procedures. Develops, evaluates, and ensures adherence to office procedures.

  • Reviews documents for supervisor. Attends meetings or committees on behalf of supervisor.

  • Analyzes requirements for projects or initiatives. Provides technical information regarding administrative procedures, services, or programs.

  • Applies and interprets, and/or assists in implementing management policies or operating practices. Develops administrative and technical procedures. Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies and procedures. May monitor compliance with policies and procedures.

  • Prepares formal reports of findings, outlines discrepancies, and proposes corrective actions.

  • Coordinates the maintenance of files, records, office supplies, or equipment. Makes recommendations for process improvements, administrative changes, or new initiatives.

  • Understands and facilitates the communication cycle by soliciting and responding to feedback across all levels.

  • Exhibit flexibility in the event University direction changes with respect to conducting on-campus operations during this time of public health disaster.

  • Successfully complete training to be Campus Security Authority.

  • Help enforce social distancing and remind individuals to practice appropriate health protocols.

  • Assist with COVID-19 case management including placing telephone calls, answering questions, indicator management and incident investigation/response and follow-up.

  • Employs dynamic communication and interpersonal skills, cultural competency/sensitivity, tactful language, and empathetic interviewing skills to build rapport and maintain trust with others.

  • Performs other related duties as assigned.

Required Education and Experience

  • Bachelor's degree.

  • Two years of related experience.

Knowledge, Skills and Abilities:

  • Knowledge of basic computer skills for word processing, spreadsheet, database, and presentation applications.

  • Multitask and work cooperatively with others

  • Work effectively with all levels of staff, establishing and maintaining collaborative professional relationships

  • Conduct oneself in a positive and professional manner will all constituents.

  • Follow direction and be able to work independently

  • Demonstrate strong verbal and written communication skills, including active listening and emotional intelligence

  • Prioritize, act promptly, and pay attention to detail in documentation and data management

  • Work both onsite and remotely, while complying with all requirements for confidentiality, records, and data security

  • Use discretion, maintain confidentiality and demonstrate ethical and responsible behavior

  • Use sound judgment in responding to issues and concerns

  • Use critical thinking and problem-solving skills

  • Work the occasional non-standard hours (i.e., evenings, weekends).

Physical Requirements

  • Must be able to correctly wear a face covering/mask for extended periods of time.

  • Must be able to lift/carry 5-10 pounds throughout the workday.

  • Must be able to operate a computer 50 to 75 percent of the time
