Position Summary::

This position is responsible for administratively supporting the campus Department of Public Safety and Security. The position will also provide general reception for the department. As an Administrative Assistant, you must be highly organized and able to work independently, possess strong secretarial and computer skills to deal with preparing and reviewing reports, excel sheets, budget spreadsheets, preparing purchase orders, using law enforcement records management software, and for formatting documents. Excellent writing and analytical skills are a requirement. Administrative assistants interact frequently with students, faculty, staff, visitors and administrators.


Staff Required Education/Experience::

High School Diploma or equivalent (G.E.D.), and two (2) years of clerical, customer service, or office experience; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.

Duty and Responsibility::

1. Greet guests, faculty, staff, visitors, and students at the Department of Public Safety and Security front desk. Answer phones and direct call or take appropriate message.

2. Obtain information from callers or individuals that walk into the security office and properly disseminate information.

3. Assist in notifications of security officers for special security events.

4. Collaborate with other divisions/departments within the College to coordinate safety and security services. Create and file crime logs and submit for publication on the campus web site.

5. Assist with the administration of the department law enforcement records management system (the current software is ALEIR). Assist where needed with other miscellaneous tasks.

6. Initiates, processes, and reviews routine and/or specialized paperwork, forms, reports, data, and/or confidential information related to assigned area of responsibility, ensuring completeness and accuracy of information; maintains related records. May record meeting minutes.

7. Performs various clerical duties, utilizing standard office equipment, to include: distributing mail; making photocopies; sending faxes; and scheduling appointments and/or department activities.

8. Responds to requests for information, in person, via e-mail, and over the phone; takes and transmits messages; answers routine questions and provides information; directs visitors to appropriate locations.

9. Prepares and/or enters a variety of information into applicable documents, spreadsheets, documents, invoices, databases, logs, forms, and/or other related areas, utilizing established guidelines and procedures. Performs basic quantitative and qualitative reviews of data.

10. Drafts and types a variety of business documents, including letters, memos, contracts, and/or other related documents.

11. Monitors and maintains inventory which includes creating purchasing orders and monitoring expenses. Monitors and maintains inventory and supplies.

12. May prioritize and assign work to student workers; monitor the performance of student workers; and train student workers on work methods and procedures.

Focused Industrial Training designs innovative educational programs for the service region's manufacturing sector.

Literacy Services offer adults the opportunity for meaningful social and occupational growth through Adult Basic Education (ABE), Human Resources Development (HRD), and the High School Equivalency Program (GED).
