Responsibilities

The Administrative Assistant will work closely with the Academic Progression and Records System Manager, Academic Registration and Transfer Specialist, Academic Departments, and Academic Student Services to support the academic progression of students and their timely degree completion. Assumes responsibility for performing confidential administrative and complex secretarial duties related to registration services, scheduling, academic progression, graduation, administrative operations, budgetary tracking, and reporting.  Administrative functions include coordinating and managing the daily office operations; responding to inquiries; providing accurate and timely information to students, faculty, administrators, and customers; representing the office in meetings and committee involvements; and assumes proxy responsibilities as authorized. Verifies documents for completeness, accuracy, and conformance with applicable guidelines, regulations, and procedural requirements according to established deadlines. Secretarial duties include answering the telephone, providing secretarial support for meetings, processing purchase requisitions, assisting with travel arrangements and documents, handling the mail, and maintaining filing system, office supplies, and office calendar. Performs other assignments as required.

 

Qualifications

The minimum level of education for the Administrative Assistant is a high school diploma or equivalency with extensive experience in higher education, academic policies and advising, reporting, graduation clearance, Jenzabar or other student Information systems, Microsoft Word, Excel, Access, Document Imaging software, and InfoMaker reporting strongly desired.  Associate degree is preferred with higher education experience performing a variety of administrative and secretarial functions. Strong customer service skills are required to interact positively with students, faculty, staff, and diverse groups. Must demonstrate initiative and possess effective communication, both verbal and written form, recordkeeping, analytical, problem-solving, decision making, and organizational skills with attention to details. Ability to interpret and apply rules and regulations, complete assignments independently with minimum supervision, multitask, manage priorities, meet deadlines, produce quality work, and function in a fast-paced team environment required. Knowledgeable of FERPA and other federal and state regulations preferred.  Must be proficient in MS Office Suite (Word, Excel, PowerPoint, etc.)
