Position Summary:

Manage day to day operations of the Agricultural & Applied Economics Department in the areas of human resources, curriculum planning/management, faculty affairs, student affairs, and miscellaneous administrative support. This role manages multiple priorities and projects and demonstrate creativity, flexibility, self-motivation, and strong problem solving, analysis and communication skills. It works work independently and as part of a team.

  • Proficient in computer programs such as MSWord, Excel, Outlook and University-related academic, HR, and financial programs.
  • Exhibit strong organizational skills and attention to detail.

Duties/Responsibilities:

Departmental Academic Services Support

  • Scheduling courses in the Department and enter course schedule in Banner (undergraduate and graduate)
  • Manages the submittal of new courses, course changes, and course deletions using the CAPA system
  • Process student petitions
  • Post Course overrides/permissions in Banner
  • Bulletin updates
  • Coordinate Student Recruitment visits to campus
  • Conduct (in conjunction with program coordinators) an Assessment of Student Learning Outcomes for each individual undergraduate, graduate, professional, and certificate program.
  • Conduct student graduation exit surveys
  • Manage the approval process for undergraduate students’ internship applications and Memorandum of Approval for each site location in conjunction with CAES Experiential Learning and UGA Legal department
  • Manage the Scholarship application and award process
  • Manage Award nominations for Students, Staff and Faculty
  • Request and supervise changes to departmental facilities (offices, classrooms, labs)
  • Academic support for department head and undergraduate coordinator

Duties/Responsibilities:

Departmental Administrative Support

  • Schedule, attend, and take minutes of faculty meeting. Distribute minutes to faculty
  • Manages the preparation of annual reports from the department as well as preparation of numerous reports, and other documents related to departmental activities.
  • Keeps department head, faculty, staff and students informed of ensuing deadlines
  • Manages processes related to contracts, promotion and tenure and post tenure review for all tenure track and tenured faculty
  • Manage the Human Resources Onboarding process for Graduate Assistants.
  • Human Resources (faculty, staff and graduate students), including but not limited to:
    • Create and post positions
    • Oversee applicant itineraries creation (faculty search only)
    • Prepare offer letters (faculty & staff positions)
    • Disposition applicants not hired and create hiring proposal
    • Post-hire responsibilities: MyID; parking and ID Card form; monitor onboarding process; ethics and FERPA training; program access requests
    • Maintain departmental new employee check sheet for regular employees and grad assistants
  • Maintain general correspondence files and confidential employee records. Maintains records and files for numerous departmental activities.
  • Oversees and sometimes assigns the work of all staff in the department to ensure that assigned work is carried out in the most efficient manner possible. Trains newly employed secretarial and clerical employees. Approves payroll on a bi-weekly basis for clerical staff.
  • Uses thorough knowledge of university policies and operating procedures to initiate and carry out numerous paperwork requirements related to hiring faculty and staff and faculty and staff appointments.
  • Telephone representative for the Department, which includes being responsible for the telephones in Conner Hall (new service, changes in service, cancellation of service), long distance access numbers, and voice mail (new service, changes in service, cancellation of service).
  • Answers main telephone number for the department.
  • Conner Connects Award banquet planning & execution
  • Coordinate meetings for department head. Coordinate with a number of other individuals to find an appropriate time when all parties can meet.
  • Departmental liaison to the public, including students, parents, administrators and employees
  • Greets visitors to main office
  • Miscellaneous room scheduling

Department Head Support

  • Schedule appointments for Department head and update the calendar.
  • Make travel arrangements for Department head, including plane reservations, shuttle service reservations, hotel reservations, and car rental reservations.
  • Assist on special projects as requested
  • Prepare correspondence as requested
  • Signature authority for routine forms and correspondence
  • Advise on procedures and rules regarding curriculum and degree requirements
  • Serve as non-voting member of Undergraduate Committee; advise of issues with curriculum and schedule of course offerings
  • Other duties as assigned by the Department head
