Job Summary

Under the direction of the Executive Director of Administration & Finance, the Human Resources (HR) Specialist supports Administration & Finance HR general operations by providing guidance and directions to management in the areas of employee relations and recruitment, and by working with staff and managers to ensure that proper personnel policies and bargaining agreements are followed.

Essential Functions

  • Recruitment: Facilitate A&F recruitment process by advising hiring managers on hiring strategies and all aspects of the search process for staff, temporary employees, and student workers. Consults on search committee selection, evaluates advertisement performance, and monitors progress on requisitions. Communicates regularly with search committees and serves as a liaison between central talent management team and search committee to answer questions throughout the search process. Conducts phone interviews, schedules follow-up interviews, and conducts reference checks. Reviews and compiles all search documentation and ensures compliance with University policies and bargaining unit agreements. Prepares offer letters and student hiring forms (eGFAF or hourly appointment forms) and follows University and A&F procedures to on-board new hires.
  • Recordkeeping: Prepares electronic Personnel Action Forms (ePAFs), works with central HR staff to update central HR systems according to changes in structure; runs end-date reports to maintain staff payroll status; processes Time & Attendance correction forms; monitors staffing actions to ensure that staff are compensated according to bargaining unit agreements; and keeps electronic network personnel folders up to date.
  • FMLA & Sick Leave Bank: Follows University policies, federal and state regulations, and bargain unit agreements to assist staff with FMLA paperwork and answer their questions. Communicates with staff and conducts initial reviews of supporting documents; prepares required notifications and approval notices. Assists staff with sick leave bank applications when necessary. Makes timesheet entries according to approval agreements.
  • Labor Relations: Keeps up to date on A&F labor issues and ensures that labor relations and conditions of employment are maintained in support of the Executive Director of A&F HR.
  • Workers Comp: Reports and initiates work injury paperwork by working with the injured staff; conducts follow-ups and files the forms when completed; acts as a liaison between central HR staff and A&F HR, and keeps staff and managers informed on the claim status.
  • Off-boarding: Assists with off-boarding process by participating in off-boarding preparation meetings and answering questions from departing staff and managers. Works with AFIT team to track and ensure equipment return.
  • Participates in campus HR professional development training, conferences, and meetings.
  • Performs other related duties and assists projects assigned by Executive Director of A&F HR.
  • Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • 2 years professional experience in an administrative office setting.
  • Demonstrated working knowledge of human resources practices, policies, and procedures.
  • Ability to work both independently and to be part of an effective team with a highly cooperative and collaborative work style.
  • Strong interpersonal skills with the ability to interact effectively, and create and maintain harmonious relationships with a diverse population.
  • Strong organizational skills and attention to detail with the ability to complete assignments in a timely manner, balancing the demands of concurrent and potentially competing projects.
  • Ability to exercise sound judgment and maintain confidentiality.
