Jobs in this career family provide direct professional support for the teaching and/or educational service mission of the university. Functions include academic advising/counseling, student personnel administration, recruitment and admissions, registration, financial aid, faculty affairs, library services, curriculum administration, and others involving direct support of the educational mission of an academic unit.

Senior Professionals are responsible for exercising discretion, analytical skill, personal accountability and responsibility in a wide range of areas including academic, administrative, managerial and student services functions. Work involves creating, integrating, applying and sharing knowledge directly related to a professional field.  Work is performed fully independently.

Job Summary:

Reporting to the Business Services Program Director in the Office of Research Education (ORE) within the School of Medicine (SOM), the Program Administrator (PA) is a senior level professional responsible for the overall financial, educational, and programmatic management of his or her respective PhD program(s). The PA independently analyzes and coordinates policies and procedures and oversees the implementation of teaching, research, and graduate training associated with the program(s). The PA makes recommendations relative to the business affairs, funds, and resources of the program(s). In conjunction with the Program Director (PD), the PA represents the program(s) within the School of Medicine, the Graduate School, the Anschutz Medical Campus, and the University of Colorado, providing essential communication and networking for the effective functioning of these entities.

Examples of Work Performed:

  • Assist in the recruitment, acceptance, and orientation of new students into the program. 
  • Appropriately prepare student admission files from the point of faculty review through acceptance by the program, the SOM-ORE and the Graduate School. 
  • Compile and manage all student data, including tracking of progress, advising, intervening when necessary, and resolving academic problems. 
  • Consult and be aware of program guidelines and policies, the SOM-ORE rules, and appropriate university policy, as it applies to student admission and degree progress. 
  • Serve as a business and administrative resource for students in the Program.
  • Serve as liaison between the SOM and the Program and the point of contact for all student-related issues. 
  • Maintain accurate and reliable training grant database records.
  • Schedule and/or attend program committee meetings, faculty meetings, and other regularly scheduled meetings, and participate in discussions regarding the program’s mission and goals. Serves as an administrative resource relative to student issues, finances, and SOM-ORE academic affairs. 
  • Maintain program curriculum proposals, including the interface with CU-SIS and building new courses in the system as necessary.
  • Organize and coordinate all event planning for program, including, but not limited to, activities around annual seminar series, program-specific specialty courses and/or scientific retreats, journal club(s), and annual new student recruitment.
  • Administer state fiscal policies, state and university rules, regulations, procedures, and standards applying to accounting and business management. 
  • Generate standard and non-standard accounting reports, reconcile discrepancies, and provide overall vigilance to assure conformance to policies and procedures for funds managed by the PA. Coordinate accounting, data processing, and other computer systems as necessary for financial management and statistical reporting in PeopleSoft. 
  • Respond to requests from the ORE, the School of Medicine Dean’s Office and the Program Director for fiscal budgetary (or other statistical) information. 
  • Administer the flow of administrative, financial, and workload statistical data

Salary and Benefits:

The salary range (or hiring range) for this position has been established at $43,064 - $52,000

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is eligible for overtime compensation.

Qualifications
Minimum Qualifications:

  • Bachelor’s degree or equivalent experience.
  • At least 2 years of broad and diversified professional experience that has included administrative responsibilities.
A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.

Required: Applicants must meet minimum qualifications at the time of hire.

PLEASE NOTE: Candidates will be responsible for travel expenses related to the interview process and any relocation expenses, if applicable.

Preferred Qualifications:

  • At least 5 years of broad and diversified professional experience that has included administrative responsibilities.
  • Experience working in a medical and/or academic setting.
  • Experience with event planning and coordination. 
  • Experience processing and tracking payroll and financial transactions. 
  • Experience working with UIS, CU-SIS, PeopleSoft or similar electronic student information system.
