The Centre for European, Russian, and Eurasian Studies (CERES) is one of the leading academic centres for the study of countries belonging to the European Union, former Soviet Union, and Central and Eastern Europe. Our Centre promotes interdisciplinary scholarship by bridging together the social sciences and humanities, utilizing the knowledge and experience of over fifteen departments and their faculty members. We organize and host a variety of regionally focused seminars, and are home to the Centre for the Study of France and the Francophone World, the Petro Jacyk Program for the Study of Ukraine, and theJoint Initiative in German and European Studies. Our Centre supports an undergraduate European Studies program, a Master’s program in European, Russian, and Eurasian Studies, and maintains a strong relationship with institutions in Europe, Ukraine,and Russia to uphold the exchange of ideas and scholars.

Under general supervision of the Director, the Program and Internship Coordinator is responsible for assisting with the administrative functions of the undergraduate, graduate and internship program.

Your responsibilities will include:

  • Acts as the first point of contact for students and provides detailed explanations to current and prospective undergraduate and graduate students by telephone, email, written correspondence, and in person on a wide range of academic matters including program requirements and eligibility, admissions, registration, enrolment, course selection, transfer credits, prerequisites, petitions, conflicts, examinations, letters of permission, funding opportunities, training opportunities, and other related academic issues
  • Advising students on program and/or course requirements by probing and providing a range of options and possible consequences
  • Checking completeness of applications
  • Resolving issues that may occur during events and escalating problems as required
  • Ensuring that procedures and/or guidelines are followed
  • Advising on the most effective methods of achieving desired communications goals
  • Coordinating meeting schedules, agendas, materials, action and follow-up items

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum three (3) years of recent and related experience with student services and program administration, preferably in an Undergraduate and Graduate office.
  • Experience coordinating and administering internship and academic exchange programs, preferably in a University or similar institution.
  • Experience with providing detailed explanations on programs of study and other related information both written and oral.
  • Experience with coordinating the exam processes, petitions, course prerequisite waivers, Program of Study Assessments; (POSAs), calendar submissions; course and timetables scheduling; room assignments; scholarship applications and award nominations and other related Undergraduate and Graduate administrative duties.
  • Experience developing and maintaining records and files.
  • Demonstrated knowledge on the availability and sources of student awards, scholarships, and fellowships and other related financial aid packages.
  • Experience with assisting students with drafting SSHRC and other related scholarship applications.
  • Demonstrated experience with organizing the student outreach initiatives, special events and workshops.
  • Demonstrated experience with writing and editing promotional material.
  • Experience working with committees and providing administrative support, including taking minutes.
  • Demonstrated experience working with ROSI System or other related student databases.
  • Demonstrated advanced skills in Microsoftoffice including Excel, Powerpoint, Access, and Word.
  • Strong familiarity with, knowledge of, and experience using new media including social networking tools.
  • Good working knowledge working of databases, including data entry and preparing reports.
  • Excellent oral and written communication skills. Excellent interpersonal skills.
  • Demonstrated minute taking skills.
  • Proven collaborative and teamwork skills.


Assets (Nonessential):

  • A knowledge of and familiarity with academic and professional communities relevant to these programs would also be valuable.
  • Knowledge of CERES a preferred asset.
