Student Life Coordinator

Job Description
Reporting to the Dean of Engagement, Diversity, Equity and Inclusion ,and the Director of Residential Life, the Student Life Coordinator leads and coordinates project/program deliverables for the department and regularly meet with project teams and stakeholders to discuss compliance, cost analysis, pricing, quality assurance, risk, scope and timeline, along with providing budget/financial management and administrative support.

Essential Duties Summary
Project Management (40%): Coordinate with project teams to implement, execute and monitor project initiatives at various stages and provide ongoing backend maintenance and reporting through various cloud- based applications and programs. Restructured various projects and programs to coincide with cost-saving remote policy and technology adaptations.
  • CampusLabs (student engagement application): Advise student groups on financial requests as they relate to the College’s purchasing and financial policies, including remote initiatives. Process expenses, revenue and reallocate/reconcile funds in the Gryphonlink finance module for student groups that received approved funding.
  • Everfi (education module application): Assist with the coordination of compliance training modules (i.e. Alcohol, Diversity and Sexual Assault) for the incoming new undergraduate/graduate students regarding SLC and NY state policies.
  • InMotionNow (project management application): Used for various print and e-marketing projects (e.g. campus e-signage and small print projects) through the Communications office.
  • MailChimp (e-marketing application): Email marketing platform used to send external global communications to SLC families and students (i.e. Family Weekend, Residential Life and ad hoc communications to SLC stakeholders). Track unique open rate analytics.
  • Maxient (case management application): Set-up and manage user accounts and access levels and troubleshoot issues with Maxient IT team. Review records for judicial issues. Serve as the Secretary to the Behavioral Intervention Team aka C.A.R.E. (Concern Assessment Response Evaluation) Team, noting meeting minutes into existing incident reports for future reference.
  • MySLC (SLC intranet): Maintain information and forms to drive traffic to various Student Life pages (e.g. COSL, new student checklist etc.) and track usage statistics.
  • Prophix (budget/finance reporting application): Utilize the budgeting tool to track revenue and expenses for various departments within Student Life and Undergraduate Student Senate.

  • Coordination of the Undergraduate Student Handbook revision each year



Budget/Financial Management (30%): Coordinate and analyze multi-project/program budgets (i.e. donor, grant and operating = $970K approx.*) in the budget/financial database Prophix. Run monthly, semester and annual budget reports, including non-compensation, P&L and year-to-year comparison.
Accurately approve, process and reconcile: transactions, check requests, budget transfers, expense reports, travel expenses, facilitate contract processing, reimbursements Administrative Support (30%): Provide a wide range of administrative support to the Student Life area.
  • Assist Dean of Engagement, Diversity, Equity and Inclusion, and the Director of Residential Life with various administrative needs including, assistance with project and program management, budgets and other ad hoc requests.
  • Hire, train and supervise Student Employees to provide a wide-range of customer service and success, plus office management.
  • Use of campus operating systems to retrieve student contact information, housing assignments and class standings.
  • Respond to Student Life calls and emails in a timely manner and prioritize emergency issues.
  • Fluent in the following:

o Operating Systems: Apple, Android, MAC and Windows
o Applications: Apple Square Pay, Adobe, CampusLab, Centresuite, Dropbox, Everfi, Google Drive/Hangouts, InMotionNow, Jenzabar/EX, MailChimp, Maxient, Microsoft Office (Access, Excel, One Note, Outlook, PowerPoint, Project, Publisher and Word), PayPal, Photoshop, Prophix budget management system, and Zoom.

Required Qualifications
Qualifications:
  • Bachelor’s degree required
  • Five or more years of support staff experience, reporting to one or more professionals
  • Excellent secretarial and clerical skills
  • Experience with Microsoft Office products, budget management platforms
  • Well-organized team player with the ability to work independently, detail-orientation, customer service orientation in a fast paced environment
