Job Description
Sarah Lawrence College in Bronxville, NY, seeks an Executive Assistant for the VP and AVP of Advancement. Reporting directly to the Vice President for Advancement & External Affairs and the Associate Vice President for Philanthropy, this position requires an energetic individual who is first and foremost a critical thinker, an expert communicator, and an adept decision maker. The responsibilities of the Executive Assistant are varied, ranging from the efficient and effective administrative processes of the VP and AVP and the management of the Advancement office at large to partnering with the VP and AVP on donor stewardship, correspondence, and liaising with high level college officials. As such, we are not so concerned with length of experience of potential candidates, but rather with specific traits and competencies, outlined below, and therefore welcome applications from professionals at all levels of their career.

Essential Duties Summary
Responsibilities of this Position
Assist in fundraising efforts in conjunction with the VP for Advancement and the AVP for Philanthropy for Advancement Serve as the liaison between the Advancement department and the President’s office Prioritize workflow and interdepartmental communications related to a wide range of matters requiring the attention of the Vice President for Advancement Communicate and inform other team members of VP’s needs and act as the liaison between each area of the department Exercise discretion and solid judgment in flagging and prioritizing matters requiring the immediate attention of the VP and AVP, and in determining when and how the VP and AVP should be informed of emerging or evolving issues Respond to correspondence and inquiries on behalf of the VP; learn to make day-to-day decisions that save the VP time and move things forward Independently gather data and information the VP will need to make decisions Ensure the VP has all necessary information and materials before meetings, events, or important calls, following up as needed Ensure Board of Trustees, senior staff, and donors always receive superior attention Maintain confidentiality, exercise discretion, and protect the sensitivity of work and communications within the office Be responsible for general administrative duties such as generating correspondence; this includes drafting and editing on behalf of the VP and AVP, calendar management,travel arrangements (including generating itineraries), meeting management (including generating agendas, booking rooms, and ensuring all materials are prepared)Filing, copying, answering phones, ordering and maintaining supplies Attending or booking special events with VP may include booking space, guests, interacting with high-level staff, or high-profile donors; this will consist of possibly working evening or weekend hours, on average 2-3 days per month Prepare and manage budgets Pull reports, add to donor records Create PowerPoint slides when necessary Identify and recommend opportunities for process improvements and lead in the implementation of such initiatives Other duties as required

Required Qualifications
Key Competencies of the Successful Candidate Professionalism, discretion, sound judgement, and an understanding of and respect for confidentiality and the sensitive nature of donor and trustee relationships Comfort dealing with individuals at all levels of the college community, including supporting a senior executive of the College Proven ability to effectively interface with high-profile individuals and leave a positive impression Excellent written and verbal communication skills; must be able to draft correspondence and other written pieces in the voice of the individual(s) for whom you are writing Highly organized with impeccable attention to detail; solid planning skills that allow the individual to anticipate needs and plan ahead to respond accordingly Proactive; a self-starter who understands what needs to be done when, and how best to do it Ability to juggle multiple projects, priorities, and deadlines at once with poise and confidence Ability to work independently while still being part of an overall team that is highly collaborative Solid technical skills, including the full MS Office Suite (Word, PowerPoint, and Excel); database/CRM experience is a plus Overall, a comfort level and facility with technology that allows the candidate to learn new tools quickly Bachelor’s degree required
