Under the guidance of the Vice President for Enrollment Management, the Director of Admissions, and the Associate Director of Admissions for Visitor Services, the Visitor Services Coordinator assists in the marketing of the College to prospective students and their families. The purpose of this position is to provide excellent, personalized service to all prospective students, families and key influencers that visit the Flagler College Office of Admissions.

Essential Functions:

  • Manage daily campus visit requests / inquiries, providing potential visitors with additional information, scheduling assistance, and prompt follow-up
  • Manage the online visit reservation system and recommend improvements to the Senior Assistant Director of Admissions for Visitor Services
  • Greet all campus visitors
  • Answer the Hanke Hall front desk phone and filter calls to appropriate departments/personnel
  • Manage the Admissions and Visitor Services inboxes and filter emails to appropriate departments/personnel
  • Stock and inventory necessary hospitality items for welcome area/session rooms
  • Ensure reception desk coverage at all times
  • Prepare Hanke Hall lobby and information session rooms for the day
  • Prepare visit roster and parking signs
  • Send a daily email to the College Faculty/Staff with pertinent information about our daily visitors
  • Help with the upkeep of the Hanke Hall lobby, presentation rooms, and restrooms
  • Check all guests in for visit experiences and update attendance in admissions CRM
  • Collect contact information from walk in families and give visit sheets to admissions operation members
  • Assist in management of the Flagler College Ambassadors
  • Assign Ambassadors tour groups and maintain daily tour spreadsheet
  • Assign Lobby Assistant Ambassadors tasks to complete
  • Oversee the Parking Attendant Ambassadors to ensure adequate parking for visiting families
  • Oversee Ambassador Office workers daily visitor phone call project
  • Assist in Ambassador Meetings and Ambassador Training
  • Provide daily visit communication to the tour guides and show room residents
  • Coordinate group visits from high schools and similar groups
  • Assist in securing residence hall rooms for daily tours
  • Have the institutional knowledge to answer prospective, admitted, and enrolled students questions
  • Maintain rosters of tour only families and send confirmation emails
  • Assign admissions counselors to individual meetings with families
  • Maintain supply of Welcome Bags and Thank You Notes in the lobby/first floor work room
  • Set the standard for exceptional customer service practices by providing outstanding service to all prospective students, enrolled students and College constituents
  • Participate in state, regional, and/or national professional development opportunities
  • Maintain CIVSA membership and utilize membership to recommend improvements to the Senior Assistant Director of Admissions for Visitor Services
  • Work all on-campus events to provide event logistic support to the Senior Assistant Director of Admissions for Visitors Services
  • Other duties as assigned
  • Additional Responsibilities:

    • Position will require periodic weekend and evening hours
    • Position may require in-state, regional and/or national travel
    Qualifications:

    • Candidate should possess a bachelors degree; applicable work experience will be taken into consideration.
    • Must be able to communicate Flagler College admission requirements and admission standards to prospective students
    • Experience with online scheduling software preferred
    • Mastery of Microsoft Outlook, PowerPoint, and Excel
    • Highly creative and detail oriented
    • Excellent interpersonal, oral, and written communication skills
    • Must be self-motivated and able to work independently with minimal supervision
    • Valid Drivers License required
    • Must be able to lift at least 25lbs
