Assistant Director of Events, McDonough School of Business - Georgetown University

At Georgetown University's McDonough School of Business (MSB), our mission is to build global business knowledge and inspire ethical leaders to serve the common good.

The Assistant Director of Events is a member of the team that plans and executes events and activities, including all MSB events that support the student, alumni, and community goals established by the MSB leadership, as well as other events in support of the MSB Dean's team. They work with the Director to establish an annual strategy of community engagement events to be hosted or sponsored by the MSB Dean's Office, including multiple complex and high-profile events throughout the academic year related to the School, as well as events that promote the School's engagement with students, alumni, donors, and the larger community. Reporting to the Director of Events, the Assistant Director has duties that include but are not limited to:

Event Management
  • Organize and execute some 200 diverse, high-profile, complex events throughout the year for the Dean's Office, Alumni Relations, Executive Education, MBA programs, Undergraduate programs, and prominent faculty panels and conferences; and assist with student groups, as appropriate, with their speaker events
  • Manage events such as multiple graduation ceremonies and receptions; live television programming; Board of Advisors and Parents Advisory Council meetings, luncheons and /dinners; national academic conferences; reunion events; alumni events in other cities; VIP presentations; CEO panels and breakfasts/luncheons; Financial Times partner events; galas; and staff and faculty luncheons
  • Investigate and implement all aspects of events and event management; select and contract with caterers, A/V suppliers, and staging, and production companies; follow event from conception through completion - being present until the last guest has departed and oversee restoring event space to pre-event status
  • Maintain the budget for events and track spending for endowed speaker series; and manage and oversee student volunteers with various MSB centers
  • Work with MSB Applications Team to develop knowledge or experience working with customer relationship management (CRM) tool, Salesforce


Technical Support
  • Work with the team in the Office of Marketing and Communications to promote the events and build audience
  • Work with MSB Applications Team to develop knowledge or experience working with customer relationship management (CRM) tool, Salesforce, and event management tool (Linvio); and use Salesforce and Linvio to build event registration pages and send event related emails to keep track of those who attend events.
  • Coordinate with the University Protocol Office on high-level VIP guests coming to the Rafik B. Hariri Building to speak; and determine security needs of VIP guests - University Police or VIP's private security.


Administrative Support
  • Create and maintain guest lists; create and distribute event invitations; create and maintain RSVP lists and send follow-up reminders prior to events; and create name badges and other needed materials
  • Create and maintain review process for requests to reserve Fisher Colloquium
  • Create contracts with vendors and the University contracts office
  • Train others on event management tool (Linvio); and provide best practices to new users


Qualifications
  • Bachelor's degree
  • At least 5 years of progressively responsible experience in event planning and management
  • Exceptional organizational skills and attention to detail
  • A commitment to outstanding customer service
  • Excellent interpersonal, written, and oral communications skills
  • Knowledge of protocol and etiquette
  • Flexibility in managing all requirements
  • Experience or knowledge of management of virtual and hybrid events
  • Willingness and availability to work odd hours as needed


Preferred qualifications
  • Supervisory experience
  • Experience in university events management
  • Experience working with high-level officials from public and private sectors
  • Experience with Salesforce
