Position Summary:

The Executive Assistant provides executive level administrative and decision-making support to the Chair and CAO in the Department of Radiological Sciences. Also oversees daily and long-rang activities for the Chair, coordinates the scheduling of all appointments, including those with University Officials, representative from private and public agencies, setting priorities, providing background information and screening as appropriate. The incumbent must use independent judgement and have high level of organizational skills as this position, under general supervision, handles sensitive and confidential executive level correspondence, agreements and special event planning and seminars. Will be responsible for managing a variety of administrative and departmental projects which includes gathering data form a variety of sources, analyzing and evaluating data, preparing detailed information and providing analysis of the results for faculty committee meetings. The incumbent will manage complex administrative functions, including prioritization of workload, resource allocation and maintenance of required resources in administrative offices of Radiological Sciences. The applicant must possess an experienced level of administrative and communication skills and must have a keen awareness of organization politics, tact and diplomacy. The incumbent must be able to independently evaluate and prioritizes written and oral requests based upon knowledge of the goals and objectives. Must be available to work occasional weekends and after hours.

Required:

Extensive experience managing complex executive level calendars. Demonstrated skills to anticipate and coordinate all preparatory arrangements for meetings, seminars, conferences, and events. Strong organizational skills to handle a diverse workload and prioritize projects with multiple deadlines, frequent interruptions, and changing priorities. Demonstrated ability to perform assigned duties independently and effectively, remaining flexible and responsive to changing priorities. Demonstrated ability to follow through with complex tasks and to establish strategies and action plans to achieve targeted objectives within set timeframes. Resourcefulness in finding appropriate solutions to problems and initiative in presenting alternatives and implementing solutions. Exceptional interpersonal and social skills to communicate and interact in a courteous, professional, and effective manor using tact, diplomacy, maturity, presence, self-confidence, and good judgment at all levels in person, in writing, or by telephone. Ability to establish and maintain effective working relationships Ability to work effectively on a team. Ability to identify, understand, analyze, and interpret complex written materials, situations, and concepts. Ability to research, properly evaluate information, and prepare concise, well organized reports, summaries, and correspondence. Ability to anticipate problems and take necessary action to eliminate or mitigate potential negative effects. High degree of proficiency in software applications, including Outlook, Word, PowerPoint, and Excel. Ability to maintain strict confidentiality Excellent writing, editing, and proofreading skills and the ability to compose letters, memoranda, and other documents.

Preferred:

Ability to develop slide presentations, use scanning, LCD projector and other wireless devices. Experience working in an academic University environment. Working knowledge of University policies, procedures, and organizational structure including Financial, Human Resources. Will Train: UCI computer programs, policies, and procedures.
