Other Work/Responsibilities:

Manage and coordinate all aspects of the team’s virtual and in-person events including creation, planning, implementation and logistics. Solicit input from the team and stakeholders when creating an event. Contact vendors and venues to host events. Professionally communicate with event participants, panelists, and executive speakers about the schedule and what to expect. Arrange travel and overnight accommodations for speakers, panelists, VIPs as appropriate and oversee their logistics in-person or virtually. Collaborate with facilities to secure and set up meeting or event space. Manage all IT and AV needs. Provide direction to all support staff on day of event. Responsible for all communication and marketing related to these programs. Plan events to ensure that logistics, curricular, and social aspects of the events enhance the educational experience and contribute to overall student/participant learning. Create and prepare summary event statistics and reports. Propose ways to measure and improve event success in the future. Manage survey processes. Conduct research to evaluate the effectiveness of each event and overall satisfaction with the program. Initiate and maintain participant feedback in order to obtain ideas for improvement. Review post-event findings and offer recommendations to the team for events improvement following year

Manage calendars and also responsible for planning, prioritizing, negotiating, and scheduling of meetings, conferences, and travel. Schedule meetings with multiple attendees with limited and competing availability. Review and update calendars regularly. Proactively prepare meeting materials. Resolve schedule conflicts. Maintain organizational charts, listservs, and assist with other confidential projects as required. Note: Given the level of activities and responsibilities, this person will be required to have a high level of confidentiality, sensitivity and discretion. Use independent judgment to determine which requests can be rerouted and which need to be addressed immediately. delegate authority to handle information requests and correspondence, analyze incoming information for significance, reroute requests as needed, determine needed outcomes and work on matters to resolution. Keep team members up to date. Share program summaries across the organization Greet guests via email, virtually or in-person and serve as a public face of the program to visitors. The position will also reserve conference rooms and meeting space, and order supplies. Shepherd and contribute to critical organizational initiatives, such as an educational series, employee/staff/student affinity groups, communication projects, new hire orientations and onboarding, helping to clarify and refine strategy (tasks, timeline), coordinating efforts with UNC Main Campus, general programming, crisis and emergency topics, and efforts to bolster and improve environment and outcomes for students, staff, employers and faculty. This will include conducting surveys, researching, analyzing and project planning, and creating dynamic data reports. Coordinate metrics reporting procedures across organizational teams. Track and enter data into electronic files that feed dashboard. In addition to the communications and promotions associated with events and special projects, this role also requires creation of communications issued by Initiative. These may include newsletters, content (blogs, interviews, articles) for the web site, emails, surveys and survey forwarding letters, reports, data for the dashboard, presentation drafts, and proposal drafts. The position will be responsible for independently composing materials for internal and external stakeholders (i.e., memos, agenda, emails, presentations, etc.) and presenting the information in a format that is meaningful. Managing all budget line items for the team. Forecast and track budget issues. Monitor expenses closely to avoid exceeding pre-determined event budgetReceive and record all invoices. Ensure timely processing of payments and reimbursements. Set up purchase orders. Work with staff to obtain any necessary signatures or approvals for various expenses. Reconciling budget and expenses monthly. Schedule periodic meetings with team to review YTD expenses and flag any areas of concern.
