Job Description

Position Summary

Under direct supervision, responsibilities include, but are not limited to:
  • Assist with the students, faculty, other staff, administration, and other items are requested to enable student success and progress towards their degrees.
  • Performs general office duties such as opening/sorting/distributing the mail, answer phones, make copies, send faxes., and assist students, faculty, staff, and administrative duties.


Typical work will include:
  • Answer questions about the department and its programs
  • Interact with students and staff in a professional manner
  • Answer phone calls and emails to the department and handle requests made in person by students, faculty, and staff.
  • Maintain records with confidentiality
  • Operate MS Office suite including Word, Excel, Teams.
  • File, store, and retrieve both physical and digital data.
  • Provide clerical support to the department chair
  • Prepare the department budget under the guidance of the AA3 and department chair
  • Maintain a relationship with the college bookstore and major vendors
  • Maintain awareness of the texts used by part-time faculty in the department. Keep an appropriate inventory of those texts and distribute desk copies to faculty as needed.
  • Organize the twice-annual departmental convocation meetings, and other faculty meetings as required.
  • Other duties as assigned by the AA3 and/or the chair
  • Use and manage a Procurement Credit Card (P-Card)
  • Prepare Period Activity Pay Agreements (LOA Contracts) for faculty
  • Process newly hired part-time faculty and guide them in the Onboarding process
  • Prepare and send print requests to Printing Services
  • Collect and file syllabi for classes before the semester begins
  • Collect and file final grade back-up from faculty after the semester ends


Required Qualifications
  • Graduation from high school or equivalent education and two years of clerical and administrative support experience which included experience in one or more of the following areas: maintaining records and files; preparing a variety of materials using a personal computer or word processor; assisting customers in completing forms and applications; and/or performing secretarial duties in support of professional staff; OR one year of experience as an Administrative Assistant I in Nevada State service; OR an equivalent combination of education and experience as described above.


Starting Salary

Grade 25, Step 1 - $33,971.7

Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
